Role Description*
We are seeking a highly organised and efficient Executive Assistant to provide executive support to our C-Suite Level team members. The ideal candidate will have excellent communication and interpersonal skills, be able to multitask and prioritise competing demands, and possess a keen attention to detail. The successful candidate will have experience in a fast-paced environment and will be comfortable working under pressure.
The Opportunity
- Completes a broad variety of administrative tasks for the CEO including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings
- Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the CEO's time and office.
- Liaise with and book external venues for offsite meetings, and assist with on-the-day facilitation. Coordinate with external providers for catering services, if necessary.
- Arrange travel, accommodation, and itineraries for Board members, as needed.
- Format information for internal and external communication – memos, emails, presentations, reports
- Take minutes during meetings
- Screen and direct phone calls and distribute correspondence.
- Other duties as assigned.
About You
- Experience in an executive assistant role, preferably in a tech company.
- Excellent organisational and multitasking skills.
- Excellent verbal and written communication skills.
- Ability to work under pressure and handle competing demands.
- Keen attention to detail and accuracy.
- Proven ability to handle confidential information with discretion.
- Ability to work independently and as part of a team.
