We know flexible working is important to you, and it is important to us too. The Partnership has adopted a blended working approach meaning you'll be able to work a mixture between the office and home based upon your personal needs whilst balancing the needs of the business.
This is a hybrid working role, therefore your time will primarily be split between working from home and the London/Bracknell Head Office. However, there will also be an expectation to visit other locations as the need arises.
The Leadership Support team aim for around 3 days a week in the office to connect and on a more ad-hoc basis to attend key meetings but again, are flexible on this.
The role could be based at either our Bracknell or Victoria campus.
The salary range for this role is £46,000-£66,700
This is a permanent position.
About the role:-
This is an exciting opportunity to join the Leadership Support profession as an Executive Assistant.
This role will support one of our 6 Executive Directors.
As a member of the Leadership support profession, you may be asked to support a different Director in the future.
An Executive Assistant’s primary role is supporting their Executive Director to deliver their responsibilities effectively and efficiently by providing proactive business support. You will advise on priorities, manage their diary and support the effective flow of work through their office and the efficiency of their directorate team by advising on ways of working and improving processes.
In this role, you are required to have very strong administrative and organisational skills, along with the ability to build and maintain great working relationships with Partners at all levels across the business. You will be able to plan and prioritise in both the short and longer term to ensure the internal and external commitments of your Executive are met.
You will be responsible for the line management of Senior PAs and PAs within your directorate, providing support for Partners with their personal and professional development creating a high performing and engaged team who take collective responsibility for the smooth running of the directorate.
You will also share collective responsibility with all of the Executive Assistants for leading the Leadership Support Profession. This will include resource planning, recruitment, talent management and training.
What you’ll be doing as an Executive Assistant:
Manage mail, calendar and other apps (e.g. G+ communities) on behalf of your Executive Director. Filter, draft, compile and cascade information in a timely manner.
Support with managing the cost budgets for directorates (e.g. head office pay/non-pay).
Coordinate complex meetings and UK and overseas business travel - organising itineraries, flights, transportation, hotels, passports and business visas.
Represent your Executive Director in comms & correspondence applying your judgement. This may include preparing and editing presentations, speeches, letters and scripts, and drawing up key messages to help your Exec prepare for key internal and external engagements.
Support the efficient running of the Exec Team meetings and other key governance groups, working closely with the Business Managers where appropriate.
Ensure that external/internal stakeholder relationships are well maintained and support you and your leaders business requirements.
Scope, curate, manage and execute successful events - ensuring all the logistics are managed with support from the Profession and/or teams.
Handle secret/confidential information in an appropriate way, always maintaining complete discretion.
Provide miscellaneous business support to your Executive (e.g. 1 Pship awards, team day support, team workday support).
Support the development of business-wide processes, frameworks and tools for Leadership Support, continuously improving them to drive efficiency and effectiveness; sharing best practice,
Work closely with the Business Profession Lead to build and develop the Leadership Support profession into a recognised centre of excellence.
Lead recruitment and onboarding programmes for Senior PAs and PAs across the profession.
Essential skills you’ll need:-
Experience of previous senior PA roles in a commercial setting, supporting at a senior or Board level.
Experience of line managing a team.
Proficient use of IT systems and confident in adapting new technologies.
Desirable skills you could bring:-
Experience of creating presentations and speeches.
