Executive Assistant - London, UK
Job purpose:
To assist the HR VP by managing technical data and materials that are required for all high-level department meetings. Working proactively with the Commercial team globally and other departments to ensure that all information and actions are completed prior to meetings. Monitoring and documenting Commercial department KPI’s and other monthly reports.

Lotus is embarking on an extensive period of new product design and development. In this role you will be integral to this process and be a member of the Commercial management team at Lotus.
Lotus plans to expand and meet it's programme requirements, this role will support this expansion and ensure that all department requirements are met.
The role expectations:
- Prepare briefing and presentation documents which will be shared with the Group CEO and Executive team.
- Preparation of presentations in PowerPoint for the Executive Management team and CEO.
- Management of diary activity and meeting cadence and governance – including agenda’s, minutes and content collation.
- Preparation and timely delivery of a range of Executive reports and presentations for the VP and the 1st line team.
- Budgetary analysis and support, including working with finance to produce relevant timely reports for the VP of Commercial.
- Working with the Commercial team and internal communications to ensure relevant cascading of information and timely completion of all planned activities for Commercial activity globally.
- Central co-ordination point for all Commercial team staff engagement activities.
- Make suggestions on process optimisation and improvement.
- Key project and activity management, including following key projects to ensure direction and steps according with plan.
- Organisation and co-ordination of travel arrangements as and when necessary for the VP of Commercial and 1st line team where required.
- Monitor department KPI’s and generate monthly monitor sheets.
- Cover for the departments business administrator absence.
Skills and Attributes:
- Experience in similar role
- Used to working with all Microsoft tools. Able to use Office 365. Must be proactive and willing to actively seek actions.
- Self motivated and able to communicate at all levels within the company.
- Attention to detail
- Very well organised and able to adjust to short notice demands.
- Fluent in English and Chinese (Mandarin) - PREFERED not essential
- Able to work in central London a minimum of 3 days per week, but to be flexible when needed (Central London/Farringdon location)
