THE ROLE

We're looking for an exceptional individual to play a pivotal role in ensuring the smooth functioning of our executive R&D leadership team. Key responsibilities:

  • Managing complex and ever-changing diaries for our CPO, CTO and CISO
  • Providing holiday and sick cover within EA team for additional executives
  • Attending meetings, taking notes/minutes; distributing actions and following up effectively for internal and external meetings
  • Helping to create client worthy sales documentation
  • Proactively finding ways to streamline the everyday for our busy Executives
  • Being a Form3 external representative
  • End-to-end management of team offsites, social and external events
  • Creating, editing, and proof-reading documents and presentations
  • Ensuring executives are fully prepared for all meetings with agendas and supporting materials and assisting in the preparation of meeting and presentation materials
  • Streamlining and coordinating wider team meetings and standing in on behalf of the executive sponsor
  • General administrative responsibilities
  • End-to-end travel booking
  • Collaboration and participation in EA team requirements and functions, including team OKR meetings and delivery
  • Provide backup support within the team function as required
  • Support the Executive Assistant Manager as required to action items in support of the full executive team

Requirements:

  • Minimum 2 years' experience as an Executive Assistant
  • Experience of complex diary management, preparation of meeting agendas and delivery of follow-up actions
  • Demonstrable knowledge of the Microsoft Suite, in particular PowerPoint and SharePoint
  • Ability to work independently in a high-paced, remote environment, along with familiarity of Slack, Zoom or equivalent remote working tools

Reporting into Form3's Executive Assistant Lead, you'll be joining a supportive team of three passionate EAs who support the company strategy and mission to be the most trusted provider of payment technology. The team meet regularly to knowledge share and work together on team objectives, with a real focus on delivering a best-in-class EA experience.
