An exciting opportunity for an Executive Assistant based in our office near Paddington Station. (3 days in office )

We are now looking to strengthen our team with an experienced Executive Assistant who will support two of our global directors, and take on all Office Management and administrative responsibilities for our London office. The Executive Assistant (EA) plays a crucial role in supporting high-level executives, managers, and business leaders. To excel in this role, you should possess a diverse skill set that includes both technical and soft skills.
You will report to our Global HR Operations Lead. You will communicate and coordinate internally with colleagues and management of each department and externally with our clients, partners and other stakeholders. You will always think one step ahead, solve or avoid problems creatively, have the utmost discretion and are able to juggle various responsibilities.
Your primary tasks and what we expect:
- Organizational Skills: Requires excellent organizational abilities to manage calendars, appointments, travel arrangements, and other logistical details efficiently.
- Time Management: Efficiently managing the executive's time, scheduling meetings, and prioritizing tasks is a critical skill.
- Communication Skills: Strong verbal and written communication skills are essential for conveying information clearly and professionally.
- Confidentiality: The ability to handle sensitive information and maintain strict confidentiality is crucial in this role.
- Problem-Solving: May need to find solutions to unexpected issues or challenges quickly.
- Adaptability: Flexibility to adapt to rapidly changing priorities and a willingness to take on new tasks as needed.
- Tech Savvy: Proficiency in office software (e.g., Microsoft Office), calendar and email management, and other relevant software tools is essential.

EA Activities
- Providing daily optimal business support (administration, facilities and organizing assigned events);
- Support preparation of high level reports and presentations;
- Coordinate and organize and budget control all business travel;
- Perform general ad hoc administrative duties as and when required;
Facilities
- Part processing / coordinating incoming and outgoing communications, organizational announcements, reports and other materials, distribution of mail, answering phones);
- Ensure a suitable and optimal use of the work environment in London including execution of planned and ad-hoc maintenance and repairs. Analyze and report (recurring) problems and complaints, develop and implement proposals for improvement;
- Act as reception desk with, amongst others, purchasing, courier and postal agreements etc.;
- Ensure compliance with local Health and Safety regulations;
- Act as the focal point of contact for all facilities-related topics and projects;
Systems Administration
- First point of contact for employees with systems issues relating to HR system, travel and expenses system etc;
- Act as Travel Booker for UK - Coordination, maintenance and management of travel and lodging, meetings, visitors, events, etc.;
IT Support
- Act as expert for office technology, telecoms, screens, boardroom equipment etc;
- Assist with onboarding of all new joiners.
Ad-hoc Events
- Ensure development, approval, driving and execution of yearly staff and Festive Season events;
Your Profile
- Competent with Microsoft Office (Outlook/Excel/Word);
- Experience in a dynamic and international work environment;
- Professional attitude and representative;
- Proven track record of travel bookings and management integrity;
- Solid administrative skills, highly accurate, with facilities management experience;
- Well organized, creative, persistent, quality driven;
- Used to dealing with confidential matters and proven to act prudently and discretely at all times
- Customer focused and strong communication skills;
- Proactive and team worker; flexible, able to deal with ambiguity and set priorities;
- Self-starting and able to work unsupervised and confidently with confidential matters;
- Enthusiastic and a good sense of humor.
- Excellent time management skills.
