Job Title: Executive Assistant
Service/Department: Chatterbug Speech and Language Therapy
Location:Leeds
Accountable/Responsible to: MD/COO
Salary: £40,025 (Pro-rate)
Part-time role, up to 16hrs per week and shift are to be over 4 days (Mon, Tue, Thu, Fri)

As a fast-growing organisation, we are seeking a motivated and determined Executive Assistant (EA). The Executive Assistant holds an important role, having the responsibility for managing the Chief Operating Officer's full portfolio of work. Doing what it takes to enable the COO to work efficiently and effectively, and to achieve their own goals by helping the COO and team achieve theirs. The ideal candidate should be highly personable, proactive, and possess excellent communication and organisation skills. The successful candidate will have outstanding personal skills and a highly creative and instinctive approach to handling challenges to the realisation of the organisation’s objectives
Main Duties:
- Executive Support: Provide high-level administrative support to our executive team, including scheduling meetings, managing calendars, and handling confidential information with the utmost discretion.
- Travel Arrangements: Coordinate complex travel itineraries, accommodations, transportation, and other logistics, to ensure smooth and efficient trips.
- Communication: Manage and screen emails, phone calls, and other correspondence, responding on behalf of COO when appropriate whilst maintaining strict confidentiality.
- Project Coordination: Assist in the coordination and execution of various projects, including research, data analysis, and preparing reports.
- Event Planning: Organise and oversee company events, conferences, and team-building activities, ensuring they run flawlessly.
- Time Management: Optimize time management for COO and executives, setting reminders, preparing meeting materials in advance, and proactively managing schedules.
- Personal Support: Handle personal tasks for COO, such as gift shopping, restaurant reservations, and managing personal appointments.
Requirements:
- Minimum of 5 years of experience as a personal assistant or in a similar role, supporting senior-level executives
- Exceptional organisational skills with the ability to multitask and prioritize effectively.
- Demonstrated ability to anticipate needs and take initiative without constant supervision.
- Excellent written and verbal communication skills, with a professional and friendly demeanour.
- Strong sense of integrity and the ability to handle confidential information with discretion.
- Proficiency in Google Workspace Suite and other relevant productivity tools
- Willingness to work beyond regular office hours when necessary to meet deadlines or accommodate the COO’s schedules.
- A creative problem-solver who can adapt quickly to changing situations.
- Ability to thrive in a fast-paced, dynamic environment and adapt to different personalities and work styles.
Job Type: Part-time
Part-time hours: 16 per week
Salary: £40,025.00 per year
