About the role
Responsible for the Executive Office administration and communication in coordination with the GM. Ensures compliance with Hilton Hotels International and corporate office policies and procedures and the goals and objectives defined by Hotel Services such as: H&S, QA and ESG.

Key Responsibilities & Duties
- Handling GM and Executive Office Administrative tasks in the executive office including keeping track sheets updated and saved properly.
- Support excusive office - documentation, minutes taking, create actions plans needed by the hotel, communicate action plan among all related departments and weekly/monthly.
- In charge of General Manager office and corporate office reports, administrative support to General Manager.
- Manage the Hilton Quality Audit action plan and communication with related department and conduct regular follow up meeting.
- Assist and manage communication with Hilton Corporate Office and oversee Hilton Annual Activities Calendar.
- Produce meetings minutes in a timely manner after any meetings, making sure all information are up to date and share the minutes to the attended parties, analyse and follow up any required action plan.
- Represent the Executive office in all Canopy Employees Events, organise charities activities, local community centres events and hotel engagement activities representing Canopy Brand.
- In charge of the Hotel ESG activities with the support of the People and Culture team, be the Hotel’s Green Champion and engage in all environmental and sustainability activities representing the hotel.
- Ensures all correspondence is filed in a methodical systematic basis under the correct files and are on the Canopy hotel’s share drive.
- Support all ad hoc and other tasks not listed.

- To generally promote and ensure good inter-departmental relations.
- To display a pleasant manner and positive attitude at all times and to promote a good company image to guests and colleagues.
- To adhere to corporate office and Canopy by Hilton rules and regulations at all times.
- To report any equipment failures/problems to the Maintenance Department.
- To pass any maintenance requests to the Maintenance Department.
- To participate in any Training/Developments schemes as recommended by senior management.
- To assist the GM in any tasks outlined/detailed by him/her.
- To comply with any reasonable requests made by management to the best of your ability.
Brand Standards
- Stay informed on Hilton Honors program within the hotel.
- Stay informed on SALT (Guest Survey system) trends.
- Follow Hilton International Brand compliance and Canopy by Hilton brand updates and compliance guidelines, be a Brand Ambassador of the Canopy Brand, which includes reports up to date, documentation, follow up on trainings required by the hotel.
- Take part on the Green Champion and ESG responsible for Canopy by Hilton.
