Blended working arrangement (Home/Office - Lombard Street, London)
As an experienced Executive Assistant at Canada Life you will be responsible for providing proactive, professional support to a minimum of two Canada Life Executive Directors. You will be responsible for the effective management of Executive calendars and meetings. Providing dedicated support to your Executives, ensuring that workloads and time is managed effectively.
As a Canada Life EA, you are expected to provide cover for absence within the E.A. team and work alongside any Executive leader. The role will report into the Senior Executive Assistant, however, day to day priorities will be set by your Executives leads, therefore excellent personal time management and efficiency is required
What you’ll do:
- Proactively take responsibility for ensuring that all aspects of the Executives work is effectively supported and managed in line with the expectations of each Exec. Forward thinking, planning and strategy in a fast paced environment using excellent time management skills. To be the first point of contact for their respective Executives meeting requests and emails in order to reduce (where practical) workload, working with other teams and providing a professional level of service where flexibility is paramount
- Arranging and managing meetings invitations – internally and externally including dealing with external regulator bodies or consultants, making travel arrangements as required and managing itineraries effectively. Using initiative where required to amend or alter meetings in line with operating further efficiencies for all parties
- Act as a liaison between the Executives and their Direct Reports to ensure that information is requested and obtained in a timely manner and ensure agreed timescales for deliverables are met, assisting Direct Reports as appropriate when requested by the Executives, as well as a willingness to work outside of the defined role, if necessary.
- Production and distribution of reports, presentations and correspondence on behalf of Executives as required including those related to Boards and Executive Committee Meetings.
- Own and maintain Governance and action logs for the Executives you support, to ensure all papers are signed off and submitted on time and actions are followed through to completion. Working and forging relationships with EA colleagues ensuring close and continued interaction to manage joint collateral, meeting schedules, etc.
- Support the Executives by following up on key actions and data, as required, arranging briefings and liaising with senior colleagues in the Company both locally and internationally in order to provide satisfactory communication and information on behalf of the Executive Directors.
What you’ll bring to the role:
- Experienced Executive Assistant with several years of Experience working at an Executive level within a similar organisation where possible
- Advanced PC and Microsoft Office Suite Experience
- High attention to detail, strong networking skills, business acumen and credibility
- A high standard of planning and organisational skills
- Excellent interpersonal skills – and the ability to work and communicate at all levels across the organisation
- Discretion and Confidentiality is essential
- Excellent written and verbal communication skills along with the ability to solve problems independently and be solution driven
- Proactive and an intuitive thinker with the ability to flex diaries and deadlines to reflect changing needs, along with the ability to adapt to working on several tasks/priorities at the same time whilst remaining calm under pressure
- A great team player with confidence, innovation and drive, able to work on own initiative
- with a positive approach to change
