BD25 Executive Assistant

Bradford district’s year of culture is set to deliver more than 1,000 new performances and events including 365 artist commissions, a series of major arts festivals and major national and international collaborations. To do this we need a team of dedicated, passionate, and enthusiastic people. We have an exciting opportunity for an experienced Executive Assistant to join our growing team. The role will provide support to the Executive Director and wider Leadership Team.

Key Responsibilities
- Coordinating activities of the Executive Director including diary management, responding to emails and handling telephone queries.
- Undertaking research for the use of the Executive Director as needed.
- Coordinating and circulating board documents and attending board meetings in capacity as minute taker.
- General administrative duties, such as typing general correspondence, creating reports, maintaining records and managing electronic filing for the Executive Director.
- Scheduling meetings and booking meeting rooms.
- Providing support for a variety of projects and initiatives at the request of the Executive Director and the wider Leadership Team.
- Creating itineraries and organising travel to maximise the time.
- Assisting in the organisation of events, away days and functions with the wider team.
You will:
- Have experience of operating successfully at a similar level.
- Have the ability to organise and priorities workload.
- Be skilled in adapting to new situations.
- Have excellent attention to detail and an ability to maintain accuracy and keep a cool head when working under pressure and to tight deadlines.
- Have experience of engaging confidently with internal and external stakeholders and forming long standing, credible relationships.
- Have a high level of computer literacy, including experience of using Microsoft Office.
- Have excellent administrative and organisational skills.
- Have outstanding written and interpersonal communication skills.
- Act with diplomacy, discretion, professionalism and have a solution-focused approach.
- Maintain confidentiality, be resourceful, and able to use initiative.
- Have a flexible and conscientious approach.
It would be great if you also have:
- An interest in or passion for arts, culture and heritage.
- Knowledge of the Bradford District, Yorkshire and UK Cultural infrastructure.
- Experience of using shorthand to take minutes.
