Overall Purpose of the Job
This role is supporting key stakeholders at Avison Young actively engaged in the delivery of our vision, strategy and ambitions. Previous experience supporting a large team is required for the individual to operate with a high level of confidence and prioritise with little supervision.
A customer service mindset with effective communication skills, both written, face to face and on the phone are required, along with a positive and assertive approach. Attention to detail and accuracy is required.
This is a highly regarded relationship role, that will require engagement in internal and external business activities. To meet demands, a good level of initiative and organisation is required to anticipate workloads/barriers and meet expectations.
The role requires the ability to delegate, leveraging tools and resources available to be a successful ‘assistant’ and become an ambassador across the community.
Main Duties, Responsibilities & Accountabilities
Business and Client Development
- Regular engagement with stakeholders to discuss actions, priorities, expectations and future planning
- Support the Sales Enablement Process, work with stakeholders to include the coordination of sales enablement documents and source sales enablement document assets
- Assists with projects to meet deadlines
- Assists with pitches for new business
- Utilise CRM as a key business tool, including managing, updating, reporting and research
- Open accounts / instruction opening and check conflicts
- Help to maintain brand assets and liaise with other departments regarding template updates and formatting
- Finds ways to improve personal administrative tasks/processes
Diary management and inbox management
- Calendar management
- Coordinate client meetings
- Book travel and accommodation
Finance
- Manage and maintain basic budgets; update WIP
- Assist the team with the management of debt recovery / cash collection
- Support the maintenance of fee schedules
- Production of invoices, covering letters and liaison with Finance department
HR
- Liaison with HR to assist maintenance of administrative and personnel databases, correspondence, including recording and maintaining leave time records
- Provide absence cover to team members
General Admin
- Answer the phone, take messages or redirect calls to appropriate colleagues
- Assist with photocopying and binding
- Create and manage spreadsheets, PowerPoint presentations, Word documents
- Arrange meetings, prepare minutes/notes and follow up actions
- Ensure cloud based filing systems and archive records are accurate and up to date
- Download files (e.g. client sites, land registry)
- Utilise Business Services to assist with agreed tasks and activities
- Other ad hoc duties as required
