Executive Assistant

The Ambassador Theatre Group (ATG) is an extraordinary success story in the live entertainment industry. Founded in 1992 in the UK, we’ve grown into the world’s number one live-theatre company today. We are excited to be recruiting an Executive Assistant for our Group Content & Creative Director (GC&CD) here at ATG based in our Central London Head Office. The main purpose of this role is to provide high-level full secretarial and administrative support in relation to his ATG responsibilities and relating to any personal matters as required. The Executive Assistant will also work closely with the Programming Team and other teams reporting to the GC&CD.

You will also work with other Executive Assistants and Administrators to support the wider Senior Leadership Team and deliver an efficient and effective administration service.

Key responsibilities:

  • Provide full secretarial and administrative services i.e. word processing, organising diaries, travel arrangements, and dealing with and acting upon written correspondence and telephone messages, confidential filing, etc. for your line manager.
  • Deal with all correspondence and manage your line manager’s email inbox, ensuring that all messages receive a response in a timely and appropriate manner, including his numerous Press/Gala night invitations.
  • Provide back-up secretarial and administrative services to other Executive Directors as and when required.
  • Carry out research and projects and report on findings as required.
  • Prepare presentations and information packs in conjunction, with other members of the team.
  • Maintain the relevant files including itineraries for all travel arrangements, relevant post, daily figures, to do lists and appointments for the day.
  • Project and event manage when required, including the co-ordination of all first night events and parties, which includes creating and distributing all invitations, monitoring guest lists, creating seating charts, attending all first nights, and supervising all parties to ensure ATG’s guests are taken care of.
  • Act as a liaison for ATG’s board and shareholders arranging tickets, hospitality, meetings, and any other requests as required.
  • Manage house seat requests for our West End venues.
  • Arrange and minute Production Investment Committee meetings.
  • Ensure any visitors are welcomed appropriately.
  • Ensure meeting preparation is carried out and any rooms are booked and set up in advance with all necessary equipment and refreshments.
  • Attend training courses as required to further self-development.
  • Carry out any other reasonable task delegated to you by your line manager, their direct reports or fellow Directors.

We'd also love you to have excellent IT skills alongside a passion for theatre and live entertainment!
