Role Description

We are looking for an Executive Assistant to join our growing global business. We are looking for a highly motivated professional to take on a challenging and varied role within our team. Your focus will be on providing high quality administrative support to our business leaders. The ideal candidate for this position will have a positive and tenacious attitude with the ability to work calmly in a fast-paced ever changing environment. As the successful role holder, you will be a confident individual with strong organisational skills, high standards and a proactive approach to daily tasks.

Responsibilities

You will be responsible for:

  • Working with the senior management team to support the consultancy, software development, product, commercial, business operations and colleague management teams to deliver our and embed a positive work environment and culture across our global teams.
  • Handling highly confidential information in an honest and trustworthy way.
  • Supporting in maintaining a positive work environment and culture across our global teams.
  • Proactively managing multiple mailboxes in a clear and professional style, including reading, organising, filing, summarising, reporting and responding so messages can be understood and prompt action taken.
  • Comprehensive diary management across multiple time zones, to ensure efficiency and time management is maximised.
  • Organising all travel and accommodation arrangements both on a global and domestic scale.
  • Organising internal and external meetings, room bookings, travel arrangements, hospitality etc on behalf of the Senior Management team. This will include setting up virtual meetings (Google Meet) and events when the Senior Management team are working with new and prospective clients.
  • Coordinating meetings, managing agendas and collating minutes and actions.
  • Supporting relationship management both externally and internally.
  • To aid workload management, liaise daily with colleagues who directly report to the Senior Management team and determine if anything is required, and if there are any risks or issues.
  • The creation of daily packs to ensure time is efficiently used.
  • Collating monthly reports from all business verticals.
  • Attending weekly meetings across business verticals and capturing minutes.
  • Proof reading documents, and carrying out administrative support.
  • Providing daily debriefs to ensure information is transferred in a timely manner.
  • The management and coordination of business events.
  • Support and deliver ad hoc work as required, acting discreetly to help with confidential matters both professional and personal.

Skills and Experience

Our successful candidate will possess the following key skills:

  • Degree or equivalent in administration or a similar field.
  • Strong IT proficiency in Google Workspace, and Microsoft Outlook.
  • Flexible self-starter with a positive attitude who is able to confidently prioritise their own workload, work independently and be able to apply initiative, logic and sound judgement to solve problems where appropriate.
  • Ability to perform effectively under pressure whilst maintaining a focus on quality and attention to detail.
  • Advanced verbal and written English communication and interpersonal skills.
  • Ability to build and maintain trusting relationships across the entire 9ine team, engaging with our global offices with internal colleagues and with our external clients.

Professional Development Responsibilities

You will be required to:

  • Make recommendations about areas of improvement or development within the business
  • Progress into the role of a technical consultant through internal training, shadowing and development
  • Drive personal continued professional development in line with the business objectives, and relevant qualification
  • Keep abreast of major changes in cyber security and be aware of how to obtain information and resources
  • Maintain and develop knowledge around relevant cyber security and IT frameworks in line with the business objectives
