Your role

  • Provide comprehensive administrative support to senior executives, including managing calendars, scheduling appointments, and handling travel arrangements.
  • Prepare and organiSe documents, presentations, and reports for meetings.
  • Act as a gatekeeper, screening calls and emails, and handling inquiries on behalf of executives.


Office Management:

  • Oversee day-to-day office operations, ensuring a clean, organised, and efficient working environment.
  • Manage office supplies and equipment, ensuring inventory is maintained and orders are placed as necessary.
  • Coordinate with vendors and service providers, including maintenance, IT, and facilities
  • management.

Meetings and Events:

  • Coordinate and schedule meetings, conferences, and events, both internally and externally.
  • Prepare meeting agendas, take accurate minutes, and distribute them to relevant stakeholders.
  • Assist in organizing company events and team-building activities.

Communication and Correspondence:

  • Handle incoming and outgoing correspondence, including emails, letters, and phone calls.
  • Draft and proofread a variety of documents, such as emails, reports, and presentations, ensuring accuracy and professionalism.
  • Maintain effective communication channels within the organization, ensuring information is disseminated appropriately


Requirements:

  • Proven experience as an Executive Assistant and/or Office Manager in a fast-paced and demanding environment.

  • Excellent organisational and time management skills, with the ability to prioritize tasks effectively.

  • Strong written and verbal communication skills, including exceptional attention to detail.

  • Proficient in using office software and equipment, including Microsoft Office Suite.

  • Ability to handle sensitive and confidential information with discretion.

  • Outstanding interpersonal skills, with the ability to build relationships across all levels of the organisation.

  • Strong problem-solving skills and the ability to adapt to changing priorities.

  • A proactive and resourceful approach to work, with the ability to work both independently and as part of a team.
