Your role
- Provide comprehensive administrative support to senior executives, including managing calendars, scheduling appointments, and handling travel arrangements.
- Prepare and organiSe documents, presentations, and reports for meetings.
- Act as a gatekeeper, screening calls and emails, and handling inquiries on behalf of executives.
Office Management:
- Oversee day-to-day office operations, ensuring a clean, organised, and efficient working environment.
- Manage office supplies and equipment, ensuring inventory is maintained and orders are placed as necessary.
- Coordinate with vendors and service providers, including maintenance, IT, and facilities
- management.
Meetings and Events:
- Coordinate and schedule meetings, conferences, and events, both internally and externally.
- Prepare meeting agendas, take accurate minutes, and distribute them to relevant stakeholders.
- Assist in organizing company events and team-building activities.
Communication and Correspondence:
- Handle incoming and outgoing correspondence, including emails, letters, and phone calls.
- Draft and proofread a variety of documents, such as emails, reports, and presentations, ensuring accuracy and professionalism.
- Maintain effective communication channels within the organization, ensuring information is disseminated appropriately
Requirements:
Proven experience as an Executive Assistant and/or Office Manager in a fast-paced and demanding environment.
Excellent organisational and time management skills, with the ability to prioritize tasks effectively.
Strong written and verbal communication skills, including exceptional attention to detail.
Proficient in using office software and equipment, including Microsoft Office Suite.
Ability to handle sensitive and confidential information with discretion.
Outstanding interpersonal skills, with the ability to build relationships across all levels of the organisation.
Strong problem-solving skills and the ability to adapt to changing priorities.
A proactive and resourceful approach to work, with the ability to work both independently and as part of a team.
