Introduction
The Strategic Estates (SE) team takes great pride in looking after and improving the buildings of Parliament itself, as custodians of the Estate. While we are part of the House of Commons Service, we provide services to the House of Lords as well. We operate on a working UNESCO World Heritage site which attracts visitors from all over the globe, in a challenging stakeholder environment where conservation and the need to innovate and build for the future coincide
Strategic Estates is central to the successful operation of Parliament’s buildings and services. It manages a diverse portfolio including major Projects Delivery, Portfolio Management Office, Planning & Design, Health & Safety, Finance & Property, People and Culture. Managing over 140 projects and delivering investment in infrastructure and services.
The Role
This role is a fantastic opportunity to join the Strategic Estates Portfolio Management Office (SE PMO) as an Executive & Corporate Project Assistant. SEPMO is a trusted and collaborative partner, leading best practice in the management of the portfolio, supporting project prioritisation and delivery. We provide an integrated approach, manage interdependencies, and provide analysis and reporting, working in close harmony with the corporate Enterprise Portfolio Management Office (EPMO).
You will provide proactive operational and project support to the Directors and Senior Managers in the team. You will contribute to the development of projects, policies and processes across SE business and administrative operations as appropriate.
Some of the responsibilities for this role include:
- Support Directors and senior managers with proactive diary, email, and time management.
- Liaise with other senior managers on behalf of your director including collation of information, analysing processes for necessary project reports.
- Responsible for tracking decisions and actions requested by the Directors and ensure decisions are taken within agreed timeframes.
- Review and update systems and processes.
- Support director and senior managers with team budgets.
- Coordinate corporate projects led by the Directors including developing project plans, managing stakeholders and risks, and communication.
Skills and Experience
To be successful in this role you will demonstrate:
- Professional experience of working with senior managers and organising diary, email, board meeting including drafting papers and minute taking.
- Anticipates and plans work for the evolving needs of the corporate projects.
- Proficient in using Microsoft software (Outlook, Office 365 SharePoint).
- Able to build good working relationships with colleagues throughout the organisation.
- Promote and maintain an atmosphere of openness and acceptance to include principles of equality, diversity and inclusion.
- Able to use information to identify problems or risks and draw logical conclusions and resolve issues.
- Ability to support corporate projects controls, by keeping senior managers aware of the project status.
