About the role

We are looking for an Executive Assistant to provide support to the Performance Zone in the Workforce Skills business, working directly with the SVP of the business as well as other senior members of the Leadership Team. The ideal person for the job will actively respond to priorities at any level and flourishes working within a team. He/she will have previous experience working in a large team and collaborating with senior execs and EAs across multiple divisions.

This is a fast-paced and dynamic environment requiring a full-time role for an ambitious and driven Executive Assistant. Given the changing nature of the executive landscape, we rely on our assistants for flexibility and foresight, while maintaining confidence related to high-level systems and operations. The successful applicant will be expected to contribute and advocate our company culture and values, with a great can-do attitude with everyone at any level.

This is a hybrid position and you will be expected to travel to our offices in 80 Strand, London at least 3 days per week.

Responsibilities :

  • Manage complex business diaries. Proactively manage changes without consultation whilst resolving issues and conflicts, awareness of stakeholder priorities and business imperatives is needed
  • Coordinate travel requests keeping in with guidelines of the travel policy; including flights, hotels, itineraries, visas and any preferences for travel.
  • Handle highly sensitive and confidential information with absolute discretion
  • Schedule and manage team meetings - create agendas, organise guest speakers, minutes, and follow up on action items
  • Build strong relationships with senior members and their support teams including business partners and multiple divisions within Pearson
  • Work closely and effectively with external stakeholders, partners, third party suppliers and professional bodies where required
  • Manage the Onboarding process for all new staff, ensuring all systems, hardware, software, security and company objectives are met in a timely manner. Support introductions schedule with the immediate team and key stakeholders.
  • Ensure team management basics are in place - role profiles, quarterly feedback sessions, training requirements and that all aspects of people leadership obligations are met in a timely manner
  • Coordination of communications requirements supporting strategic communications, team, and engagement communications, townhalls, direct report meetings and events, as well as involvement in a wide range of internal and external events. Drive and deliver communications, managing profile and Neo profile of the executive ensuring adequate presence is maintained
  • Manage the new vendor set up and invoicing process end to end including raising requisitions, Purchase Orders and liaising with Accounts Payable.
  • Promote well-being across the team, including mentoring, mental health and social events.

About your experience and qualifications:

  • Demonstrable experience operating as an Executive Assistant in a fast-paced global organisation working for Senior staff
  • A self-starter with ability to work independently, anticipate needs and make sound decisions with minimal direction
  • Exceptional prioritisation, organisational and communication skills
  • Excellent discretion and judgement including managing highly sensitive and confidential information
  • Ability to manage a variety of activities, tasks, time zones and cultures
  • Digitally savvy, experience with enterprise systems (expenses, travel, MS office, Zoom & other telecommunications software etc.)
  • Passionate about helping people make progress in their lives through learning
