Executive Administrator. Remote/UK based
About the ROLE
We are seeking an administrator to organise Elemental Concept’s day to day operations, providing a wide range of tasks primarily supporting the 3 Founders and the Global HR Manager.
Responsibilities will include but not limited to:
Meeting, Diary & Travel Management
- Proactive management of diaries for the Founding Team
- Organise remote meetings across multiple time zones for Founders and as needed for the wider team using video conferencing facilities – Microsoft Teams and Zoom and Google Hangouts
- Organise in-person client and internal meetings, including booking venue and travel as applicable
- Booking of international travel and accommodation for senior management team as required
HR Admin Support
- Supporting the Global HR Manager with HR admin related tasks, to include but not limited to
- Onboarding – supporting the offer process including the raising of offer letters, undertaking reference and background checks, new starter administration
- Recruitment coordination – coordinating the candidate feedback process and booking of interviews
- Absence tracking
Employee Engagement
- Working closely with the Global HR Management, coordinate employee engagement initiatives to include meetups, remote “zoom” events and other ad hoc initiatives
Social Media & Comms
- Ensure Elemental’s continued presence on LinkedIn and other social platforms (Facebook / Twitter)
- Encourage the production of content from the wider Elemental Team
- Post Elemental milestones, events, and achievements – e.g. new clients, go lives, new hires, anniversaries etc.
Corporate Social Responsibility
- Elemental Concept are closely aligned with Gift of Hope – a charity which partners with sustainable, community-based organisations to ensure that every child has the chance to fulfil their potential through education with one of the Founders serving as a Director of the Charity
- An important part of this role will be to provide ongoing support to the charity to include:
- Maintaining a presence on social media
- Coordinating fundraising events
- Ongoing review of marketing messaging including updates to the website
Ad-hoc duties as required.
About YOU
- 2-3 years proven general administration / PA experience, ideally in a startup / SME environment.
- Appreciation of the HR, the recruitment life-cycle and basic knowledge of UK employment law a distinct advantage
- Excellent written and verbal English language communication skills with ability to liaise with internal customers at all levels.
- Customer service focused, with strong interpersonal skills and the ability to instil confidence and trust in others.
- Experience managing a light touch social media presence for a company.
- Willing to be a champion of company culture to create a positive work environment.
- Proven ability to work on own initiative with high level of self-motivation / proactivity.
- Highly organized with the ability to manage multiple and conflicting priorities whilst ensuring customer service and delivery is maintained.
- High level of confidentiality, tact and diplomacy
- The ability to work accurately, with attention to detail.
- Able to travel to London for in person meetings occasionally
- High level of enthusiasm and willingness / eagerness to learn.
- High level of IT literacy to include Microsoft Word and Excel.
