Role and Responsibilities (this is a broad but not exhaustive list)
Support the Events Executive (EE) in the planning and project management of each event as required. This will include:- running smaller events from start to finish
- booking events in our internal systems and managing enquiries for event space,
- Assisting with digital delivery of events or webinars
- managing invite lists in our CRM system InterAction
- creating event invitations in our email marketing system, Vuture
- booking catering and liaising with the front of house and facilities teams
- attending events as required to assist with meet and great and handing out name badges)
- ensuring smooth delivery of events
- Liaise with external speakers to book rehearsals and other event logistics.
- Maintain the Events Calendar logging new events and updating as required.
- Update the Firm’s events calendar on the intranet and liaise with other stakeholders such as EAs, Responsible Business and HR to ensure other firmwide events are captured.
- Updating the Firm’s external website to include relevant upcoming events.
- Monitor the budgets for events and report to the EE to ensure cost effective delivery and adherence to set budgets; manage payments, handle invoice queries in relation to events and liaise with budget holders and finance team.
- Capture the data collected in the follow-up programme for all events using the appropriate tools.
- Review and ensure CRS PPT presentations meet with the Firm’s brand standards.
- Support the EE to develop and maintain best practice guidelines for the smooth running of events where the events team is not in attendance, and to provide self-help to other people in the Firm to ensure there is a consistent standard of event delivery.
- Communicate effectively with other Business Development team members on the progress and requirements for their events.
- Support on the delivery of key internal events e.g. Partners Conference and other high profile internal events such as Managing Partner Townhalls.
- Manage ticketing for sports and other external event attendance as required.
- Liaise with external agencies and venues as required.
Qualifications and Experience
- An understanding or appreciation of the legal sector is desirable.
- Some events experience or exposure to client events and meetings is essential.
- Experience with an email marketing system or CRM system is desirable
- Experience working with Business Development teams and senior stakeholders.
