M-Media Events is seeking an enthusiastic and motivated individual to join our small but expanding team in the role of Event Operations Executive. Working under the guidance of our CEO and Event Director you will be working on international conferences which take place in the UK, US, Canada and Australia that focus on the Future of Work and Learning & Development.

Responsibilities include:
- Event Planning: Develop and execute event plans that align with the organization's or client's goals and objectives. This includes selecting event locations, managing vendors and contractors, coordinating logistics such as transportation and accommodations, and ensuring that all necessary equipment and supplies are available on site.
- Budget Management: Develop and manage event budgets, negotiate contracts with vendors and venues, and ensure that all expenditures are within budget constraints.
- Stakeholder Communication: Communicate regularly with clients, sponsors, attendees, volunteers, and staff to provide updates on event planning progress, to address questions and concerns, and to ensure that everyone is aware of the event schedule and any changes that may arise.
- On-Site Management: Oversee all aspects of events on site, including setup, registration, catering, entertainment, and security. This includes troubleshooting any issues that arise and ensuring that the event runs smoothly from start to finish. Also managing event staff, volunteers, and contractors, ensuring that all team members are aware of their roles and responsibilities and that all tasks are completed on time and within budget.
- Post-Event Evaluation: Evaluate the success of events and make recommendations for future improvements. This includes analyzing attendee feedback, tracking budget expenditures, and reviewing vendor and contractor performance.
Working Hours:
The ideal candidate will work 16 hours per week ideally on a Monday and Thursday from 9:00am until 5:00pm but working hours and days can be negotiated for the right candidate. Days and hours will also be extended during event business trips.
Preferred Experience and Skills:
The Event Manager should be a highly organized and detail-oriented individual with excellent communication and negotiation skills. They should be able to work well under pressure and meet tight deadlines while ensuring that all events run smoothly and meet or exceed the expectations of clients and stakeholders
- 2+ years experience in event/conference management and planning; or relevant related fields
- Knowledge of Microsoft Office Suite (Word, Excel, Outlook, etc.)
- Excellent interpersonal, customer service and organizational skills
- Ability to work independently and multi-task to meet deadlines
