About us
UCL’s Student Psychological and Counselling Services (SPCS) are part of Student Support and Wellbeing (SSW). SSW provide holistic support for all students at UCL, helping them to stay well and perform at the best of their ability. In SPCS we undertake psychological assessments of individual students in order to help them identify and solve their problems, to identify clinically significant disorders as appropriate, and to help students determine and pursue the most appropriate treatment plan. We provide high-quality, time-limited individual cognitive behavioural therapy, psychodynamic counselling, psychiatric support and personal development workshops both face to face and online via telephone and video. We are a multi-disciplinary Team made up of Psychiatrists, Clinical Psychologists, Counselling Psychologists, Psychoanalysts, Psychoanalytic Psychotherapists, Psychodynamic and Cognitive Behavioural Therapists.
About the role
The duties and responsibilities of the successful candidate are: To arrange individual appointments for students who register with SPCS • To maintain and update the departmental database as and when necessary • To refer students to partner services for counselling sessions • To liaise with temping agencies when necessary • To induct new staff in the department’s administrative procedures • Provide general administrative assistance to the SPCS admin team to include general mailbox maintenance • To perform evening building checks and close the building • To perform fire Marshal and first aider duties • To communicate sensitively with UCL staff, students, parents and internal or external agencies by phone, in writing or face-to-face • Ensure effective communication with line manager regarding work in progress, implementation of developments and emerging trends or issues. • Undertake all work in line with UCL policies, procedures and regulations and to ensure at all times the promotion of equality of opportunity and non-discrimination in accordance with UCL’s Equal Opportunities policies. • To maintain an awareness and observation of Fire and Health & Safety Regulations, and to go about duties in a resource efficient way and minimising impacts to the environment wherever possible. • To perform any other duties commensurate with the grade and purpose of the post. Other or Occasional Duties SRS staff may, subject to the agreement of their line manager, be called upon to assist with additional duties relating to Health and Safety, or other roles deriving from other UCL strategies, policies or initiatives. Special Working Conditions This post requires a full enhanced DBS Staff may be subject to the following, as determined at the discretion of the Head of Department: restrictions on the taking of annual leave during the main enrolment period of each academic year and/or at times of high section-specific workload; occasional work outside of normal hours, on weekends and/or business travel. Student and Registry Services operate agile working practices which include a clear-desk policy as standard, and opportunities for compressed working hours. SRS Divisional Expectation All post holders in SRS are expected to contribute to major events and activities delivered by the division. These include: enrolment, examinations, A-level publication and graduation. The precise duties to be undertaken will be agreed between the staff member and their line manager. This will not include additional periods of leave embargo in addition to any arrangements that may be in place relating to the core duties of specific roles.
About you
Qualifications, experience and knowledge: Professional qualification in administration and/or training or experience in IT. Essential Application and Interview Awareness of current developments within the field of service administration Essential Application and Interview Demonstrable inter-personal skills with people from a wide range of backgrounds. Essential Application and Interview Experience of working with people with a wide range of mental health problems which would include diagnosed mental health illnesses. Desirable Application and Interview Experience of working in a setting providing a support service to students or young people. Desirable Application and Interview Experience of working in an institutional setting Desirable Application and Interview Experience of working within a multi-professional team (e.g. working with other administrators and healthcare professionals such as cognitive behavioural therapists, psychiatrists, GPs, etc.) Desirable Interview Skills and abilities Excellent written and verbal communication skills Essential Interview Good computer skills with emails, Word and the use of database for record keeping Essential Interview Flexibility in thinking and practice Essential Interview A commitment to accuracy and time management.
