Job Description
Executive and Senior Management Support
- Arrange and co-ordinate meetings and corporate events, liaising with external parties as required
- Book and manage travel arrangements for the Executive and Senior Management team as requested
- Prepare and edit correspondence, communications, presentations and other corporate documentation. This may include minute taking at meetings
- Assist with the management and maintenance of Executives' schedules and appointments
Corporate Services/Office Management
- Ownership of facilities management, liaising with landlords and 3rd Party utility providers
- In-life management of 3rd Party cleaning vendors, ensuring an efficient service of cleanliness is maintained at all times
- Maintain a safe and efficient office by corresponding with all Corporate suppliers such as stationery, confidential waste and fire authorities as required
- Being available on-site to co-ordinate the planned arrival of visitors and vendors as required
- Manage stocks and order office consumables as required
- Support the management of the car parking facility issuing/receiving car passes as required
HR Team Support
- Support the HR team with the efficient on/off boarding of colleagues including liaising with IT as required, the issue/receipt of office passes, keys and fobs and office orientation as part of the induction process
- Work with the HR team on employee engagement initiatives including employee recognition, wellbeing, health, safety, diversity and inclusion initiatives
- Co-ordinate training and development activities as requested, providing administrative support as directed
The Successful Applicant
Education
- Business Administration qualification would be preferrable
Business Experience
- Experience in a similar fast-paced, multi-functional role is a must
- Proven ability in establishing and managing professional and positive relationships with Executive Directors, Senior Managers and other key internal and external stakeholders
- Articulate and confidence in negotiating and managing Vendors and 3rd-Party suppliers
- Competent in all Microsoft Office package
