We are currently seeking to recruit an Document Controller to join our Natural Resources team. This role is varied and challenging, and will involve working with internal and Client document control teams. Initiative and problem solving skills are a must, as are strong interpersonal and communication skills. Possessing experience in implementing document control procedures, setting up, configuring and managing Common Data Environments (CDE) / Electronic Document Management Systems (EDMS) at an administrator level.
Key Responsibilities
Responsible for implementing the Office of Record documentation procedures and document retention requirements.
- Files all required forms and records as established in TnP Office of Record procedures.
- Ensures all Work Management Process (WMP) and Control of Work (CoW) documentation is received and filed in accordance with TnP procedures.
- Provides support and assistance for updating and distributing P&ID’s, Linesheets, Gatemaps, Station Prints, and related drawings and documents.
- Leads efforts to gather district equipment documentation and information and keep it up-to-date.
- Prepares documentation materials for, and assists in, various internal and external audits.
- Ensures new document and records management and retention standards/policies are strictly enforced, including training on new digital tools.
- Ensures project files are set up in accordance with the common process and in compliance with the proper regulatory agencies.
- Assures project documentation and closeout occurs in a timely manner.
- Identifies and facilitates regional employee training for all documentation processes and procedures.
- Acts as a super-user of the Documentum documents and record management system.
- Works closely with other TnP Document Coordinators to ensure consistency and reduce redundancy.
Experience of a variety of different projects.- Administrator level experience using at least one of the following: Documentum, Maximo, Asite, Bentley Alim, AutoCAD.
- User level experience of at least one other CDE / EDMS or similar system.
- Advanced Microsoft Office skills.
- Excellent interpersonal skills, and the ability to communicate with people at all levels.
- Well organised and able to manage multiple requirements simultaneously.
- Must be able to manage priorities according to the demands of the project environment.
- Skilled in presenting to groups and delivering training in a variety of mediums.
- Set up and maintenance of workflows within a CDE / EDMS.
- Excellent presentation skills.
Desirable Skills & Experience
- Substantial experience in the Oil and Gas industry, with preferred experience in Document and record Management.
