Job purpose
Store, manage and track documents using the Asite EDMS in line with company processes, procedures & policies. Store, manage and track documents using the client’s Viewpoint EDMS in line with project processes. Police all project data & information received or generated during the project lifecycle. Regularly communicate with your project team, regarding incoming & outgoing data. Aid delivery of project documentation required for completion and handover.
What you will be doing
- Administration of Document Control and Collaborative Software Environments.
- Setting up projects within the EDMS using pre-defined templates.
- Managing access rights and permission levels.
- Maintaining document trackers, schedules and drawing registers utilising the agreed EDMS of choice.
- Training and mentoring new users on the document management systems and best practice.
- Daily spot checks of assigned projects to ensure project information is viable and usable.
- Enforcing / re-enforcing the use of the EDMS throughout the business to internal & external customers to aid project delivery.
- Extending and promoting the use of information management best practices at all times to suppliers, clients and sub-contractors, through training and demonstration.
- Developing the use of the EDMS to suit business changes.
- Support fellow staff members tasked with document control duties.
- Change control to ensure project information is managed in accordance with the business unit procedures.
- processes and procedures and Project Specific DC Protocols document.
- Attend Document Control related meetings, training, initiatives within the business.
- Attend and produce minutes for design coordination meetings with the client, subcontractors, suppliers and other third parties;
- Maintain hard copy and physical data where required for retention/disposition.
- The role is 80% Document Control / 20% Administration. The company may require you to undertake duties other than those outlined in this job description and/or to undertake work in other departments/sites to meet customer demands.
- These duties will be communicated via your line manager only. Any changes to this job description will be discussed and agreed with you.
What we will need from you
Essential
- Ability to travel to and work on-site in a construction environment. (Includes Multiple Sites)
- Knowledge of collaborative software, ideally Asite and Viewpoint.
- A proactive and enthusiastic individual with a genuine interest in information management within an engineering environment. Must be able to demonstrate working on own initiative, with effective time management.
- Must be computer literate; with good Microsoft Office (Word, Excel, and PowerPoint) at an intermediate level
- Ability to adapt quickly to changes in process and communicate to internal customer base.
- Numeracy and literacy skills
- Good interpersonal skills, at all levels of the organisation
- Intermediate knowledge of Adobe Acrobat Pro (or other PDF software)
Desirable
- Construction Skills Certification: Operative CCS (Yellow) Card
- Flexible working hours to accommodate business needs and requirements
- Basic knowledge of SharePoint, Microsoft Visio,
- Basic knowledge of Quality Assurance Systems
- Basic knowledge of B.I.M. (Building Information Modelling)
