Red Rock Consultants are working with a privately owned leading M&E group covering the UK, who employ over 1100 staff and have an annual turnover exceeding £160 million. Due to continued contract growth my client is now looking to an experienced Document Controller Administrator to join their team at their office in Southampton
The Document Controller Administrator is responsible for
- Assist the Regional Pre-Construction Manager & Team to manage the office on a daily basis to ensure it runs as efficiently and effectively as possible.
- Manage and log opportunities onto the tender register for review by the Pre-Construction team.
- Track document amendments, supersede information to ensure that the team have the latest information.
- Support tender sub-contractor & supplier enquiries ensure that they are all electronically filed.
- Electronically “Stamp” all tender information as “received” and log within tender document register.
- Manage document uploads to document control platforms for various projects whilst ensuring that deadlines are met as agreed with our clients.
- Support completion of Bid Documents and pre-qualification questionnaires.
- Organise and maintain records of all staff and operative diaries and time sheets etc
- Assist in the preparation of operating and maintenance manuals with the engineers
- Manage and maintain the office electronic / manual filing of paperwork by the staff and operatives.
- Organise inductions for all new starters; liaising with IT and other departments as required to
- ensure Laptops, phones, cars etc are made available at the right time.
- Answer telephone calls in a professional manner, taking messages, transferring calls and redirecting issues to the appropriate individual for swift resolution
- To meet and greet clients and visitors
- General daily office administration duties as required
