JOB DESCRIPTION

Job Title: Director of Operations

Job Purpose: To work as part of a Senior Management Team to effectively manage the day-to-day operational services for the overall efficient running of Independent Housing (UK) Limited.

Based: Requirement to visit Head Office (Adlington,Cheshire) once a week for meetings, travel required around the country to visit IHL schemes and work from home opportunities.

Reporting to: CEO

Salary: £50,000 per annum

Background: Independent Housing (UK) Limited is a Registered Charity and not for profit organisation that provides high quality, person-centered Social Housing Services for vulnerable adults including people with learning disabilities, mental health needs and physical disabilities throughout England and Wales. The small team works hard to meet the needs of the people we support to ensure that money collected in rent is used to provide high quality repairs and property maintenance. We provide personalised rental housing, housing support and maintenance services, with our ethos focused on promoting and supporting independence and choice, valuing the rights of the people we support and developing long-term partnerships sustained by a quality service delivering value for money.

Specific Responsibilities:

  • General Management:
  • Ongoing leadership and supervision of Office Manager. Weekly face-to-face meetings at a minimum covering all topics on the weekly meeting agenda listed for discussion.
  • Supporting the CEO or other Senior Team members with reasonable and appropriate duties as and when required
  • Requirement to travel to IHL’s schemes which are based nationwide to evaluate service delivery and ensure the properties and staff are working in line with the charity’s objectives
  • Work in partnership with external organisations to ensure IHL delivers excellent performance and outstanding service to tenants
  • Implement and monitor compliance with Housing laws and legislation at all times. Ensure there is compliance with IHL’s Confidentiality, Equality and Diversity and GDPR policy at all times.
  • Develop and provide feedback on internal IHL processes, identifying future/current risks or challenges for the organisation and developing appropriate strategic approaches in conjunction with the SMT.
  • Responsible for elements of training of any New Starters in conjunction with other senior managers
  • Liaise with Care Providers at all levels of seniority and implement a regular meeting schedule to discuss all Housing/Tenancy matters alongside Director of Housing/CEO (monthly/quarterly)
  • Process any compliments/complaints received by tenant or care provider, draft a formal response and/or edit correspondence when required
  • Tenancy Support interactions monthly review (quality review of entries and verifying all tenants have logs uploaded against their record)
  • Contribute in the setting up of a new development – manage the introduction of the scheme to the Housing/Administration team
  • Working with the Housing Team to develop tenant and community wellbeing and involvement initiatives across all areas – linking in with our partners and other organisations.
  • Responsible for monitoring all Housing Benefit suspensions/arrears/shortfalls and ensuring this meets organisational target
  • To actively encourage tenants to be involved in providing feedback on the quality and appropriateness of the service and ensure they are involved in the design and review the housing management service.
  • To maintain effective records to demonstrate what services are currently offered by IHL and how these are monitored.
  • Contribute to the continuous improvement of IHL service provision by being involved in service reviews and the development of the service, procedures and working practices.
  • Evaluate staff feedback to help retain talent

2. Logistics

  • Share Outlook Calendar with all team members
  • Assist in organising agendas and logistical details for meetings, seminars and workshops, including setting up audio visual equipment, flipcharts etc; arranging refreshments and responding to other reasonable requests
  • Provide administrative and practical support to consultants as needed
  • Organise the distribution of relevant sector specific information/publications.
  • Photo-copying and printing various documents, sometimes on behalf of colleagues
  • Using a variety of software packages including Microsoft Word, Outlook, PowerPoint, Excel, Access etc.
  • Organise staff training events/workshops and evaluate feedback on training

Person Specification

The post holder will be expected to comply with IHLUK policies and procedures at all times. These include, but are not limited to equality and diversity, confidentiality, data protection and health and safety.

In order to do this job, the post holder will be trained and coached in IHLUK procedures and policies. They will be expected to familiarise themselves with the procedures and policies and to seek advice and guidance from the Executive Team if required.
