Job description

Work closely with senior-level executives to ensure all business-critical systems operate efficiently. Implement data security and information management policies to help mitigate a wide range of cybersecurity risks. Ensure the streamlined operation of the organization’s IT in alignment with its business objectives. Plan, design, mature, coordinate, direct, and implement IT-related activities of the organization. Provide administrative direction and support for daily operational activities of the IT department. Maintain and coordinate the accessibility, functionality, and security of all computer resources to include data storage, networking equipment, SAAS applications, and computer hardware. Work closely with decision-makers in other departments to recommend and implement cost-effective and integrated technology solutions for all aspects of the organization.

Key Responsibilities:

Strategy and Planning:

  • Create an overarching IT strategy.
  • Set short and long-term IT goals for a growing organization.
  • Foster a security culture
  • Plan projects, organize and negotiate the allocation of resources.


Budget & Acquisition:

  • Manage financial aspects of the IT Department, including purchasing, budgeting, and budget review.
  • Develop business case justifications and cost/benefit analyses for IT spending and initiatives.
  • Develop requests for proposal and evaluate responses as needed.
  • Negotiate and administer vendor, consultant and service agreements.
  • Direct research on potential technology solutions in support of procurement efforts.


Vendor Management:

  • Build and maintain relationships with Microsoft and other relevant vendors. Stay informed about updates, new features and licensing changes.
  • Evaluate current IT vendor and service relationships; recommend needed changes and manage the vendor life cycle.
  • Monitor service delivery to assure performance aligns with contract terms.
  • Ensure SLAs, MOUs are being met by vendors and service providers.


Policy Development

  • Develop IT policies and procedures, including those for architecture, security, disaster recovery, standards, purchasing, and service provision.
  • Review existing policy to ensure alignment with all parts of the organization.
  • Update IT policies and procedures as needed.


Data Protection:

  • Protect sensitive data, systems, and applications from external threats.
  • Work with departments to classify and label data.
  • Implement and monitor data retention policies and data holds.

Security and Compliance:

  • Ensure IT solutions adhere to organizational policies, Federal and industry regulations.
  • Stay updated on security best practices and implement appropriate measures to safeguard data and mitigate risks.
  • Document, review and update security controls on an annual basis or as technology changes.


Project Management:

  • Lead and manage the implementation of IT projects across multiple departments. Define project scope, timelines, and resource requirements. Coordinate with internal teams, external vendors, and stakeholders to ensure successful project delivery. (Priority project for 2023/2024 is system migration to Microsoft 365 organization wide.)
  • Work with stakeholders to define business and systems requirements for new technology implementations.
  • Approve and oversee projects and project portfolio.

M365 Subject Matter Expert:

  • Serve as a subject matter expert on Microsoft 365 technologies, including but not limited to Microsoft Teams, SharePoint, OneDrive, Exchange Online, Active Directory for single sign-on, and Security & Compliance features. Provide guidance on configuration, integration, and customization options to maximize the value of Microsoft 365 solutions.


Change Management/Training:

  • Develop and execute change management strategies to ensure smooth adoption of IT solutions, particularly Microsoft 365 solutions.
  • Conduct training sessions, create user documentation, and provide ongoing support to end-users.
  • Proactively address resistance to change and drive user engagement.


Contingency Planning:

  • Review CP plan on an annual basis and update.
  • Ensure backups are tested on a quarterly basis
  • Provide annual CP training to SoA employees
  • Complete a CP test on an annual basis and document lessons learned

Operational Management:

  • Manage the deployment, monitoring, maintenance, development, upgrade, and support of all IT systems including laptops, operating systems, hardware, software, and peripherals.
  • Evaluate and manage provision of end-user services, including help desk and technical support services.
  • Keep current with the latest technologies.
  • Manage assets for IT hardware, software, and equipment.
  • Manage IT staffing, including recruitment, supervision, scheduling, development, evaluation, and performance management actions.
  • Continuously monitor and analyze the performance of Microsoft 365 solutions. Identify areas for improvement, recommend enhancements, and optimize configurations to enhance productivity, collaboration, and user experience.
  • Troubleshoot technical issues and/or work with vendors to resolve.
  • Other duties as assigned.

Communications:

  • Establish and maintain regular written and in-person communications with the organization’s executives, department heads, and end users regarding pertinent IT activities and security advisories.


Position Requirements

Formal Education & Certification

  • Bachelor's degree in Computer Science, Information Technology, or a related field (Master's degree preferred).
  • 10+ years IT work experience.
  • Certifications are preferred in one or more of the following areas:
  • Project Management
  • IT Security
  • Microsoft 365 Certified Enterprise Administrator Expert, Security Administrator Associate are highly desirable.


Knowledge & Experience

  • Deep knowledge of Microsoft 365 products and services, with a focus on collaboration, communication, and productivity tools.
  • Familiarity with security and compliance requirements related to Microsoft 365.
  • Direct experience using/maintaining Active Directory and implementing/maintaining Single Sign On solutions.
  • Strong analytical and problem-solving skills, with the ability to assess complex business needs and translate them into technical solutions.
  • Effective communication and stakeholder management skills, with the ability to influence and collaborate with cross-functional teams.
  • Strong experience in managing and implementing Microsoft 365 solutions, including hands-on technical expertise.
  • Budgeting experience.
  • Excellent project management skills, with the ability to prioritize tasks, manage resources, and deliver projects on time and within budget.
  • IT migration experience.
  • Strong technical knowledge of networking.
  • Strong technical knowledge of current network hardware, protocols, and standards.
  • Security experience.
  • SAAS experience with managing cloud products (SalesForce).
  • NIST experience (preferred).
  • ITIL experience.
  • Extensive application support experience with M365 platform.
  • Proven experience in IT infrastructure planning and development.
  • Non-Profit experience a plus
  • In-depth knowledge of applicable data privacy practices and laws and how that translates to tech.
  • Strong understanding of project management principles.
