We are advertising for three Diary Manager posts which will sit at the heart of the Ministerial Directorate in DSIT, working closely with Minister(s), Special Advisers (SpAds), and senior officials. The successful candidates will take a key role in the development of the Department’s Private Office Function, providing business support and strategic time management to Ministers and Senior Officials.
Person specification
We are looking for candidates who are able to grasp and apply new concepts; who are engaged, adaptable and keen to take on a strategic role and show leadership over diary issues in a new team. We are seeking candidates who can use sound judgement and understanding, recognising the political environment their principal will operate in. The role provides an exciting opportunity to see how high-profile policies are developed and delivered, and how decisions are made at the heart of government.
The successful candidates will have the rare opportunity to be part of the new Private Office teams supporting the new Department for Science, Innovation and Technology. The successful candidate will be expected to play a key role in building a strong, high-performing, and supportive culture within the wider private office directorate. You will be an integral member of the team, ensuring that all key office processes work effectively and efficiently.
Key responsibilities
The successful candidates will be responsible for:
- Proactively planning meetings and manage the diary in line with departmental priorities, ensuring agendas, relevant information and documents are prepared.
- Working closely with Private Secretaries in the team, Directors and senior colleagues to ensure effective use of your principal’s time.
- Using judgement to prioritise important meetings, suggest appropriate delegation when needed and clear communication.
- Working with the visits team to arrange the logistics and travel for domestic and international visits.
- Leading on key administrative tasks for the private office, for example the clearance of Freedom of Information Requests and support of Parliamentary engagement.
Given the fast-paced and changing nature of private office, the successful candidate will be expected to be flexible and support other team members on work outside their immediate responsibilities when required.
You will be offered support to develop in the role, including training, coaching and mentoring options. We follow good practice in line management in DSIT through regular performance management discussions and in-year reward rounds to recognise performance.

The post is based in London but both domestic and international travel with the principal may be required.
Skills and experience
As a Diary Secretary, you will be responsible for managing the day to day operations of your principal. You will be exposed to wide-ranging subject areas, as well as a close and collaborative working relationship with Ministers and senior policy officials.
We are looking for candidates who will be proactive, motivated and eager to learn with a can-do approach to problem solving.
- Excellent written and verbal communication, with the ability to communicate concisely and coherently to a variety of audiences.
- Excellent organisation skills, capable of effectively prioritising work and delivering consistently under time pressure.
- Strong administration skills or experience providing executive support, with strong attention to detail and the ability to adapt these skills to deliver at pace in a complex working environment.
- Good at working independently and to planning time effectively to ensure service standards are met.
- Comfortable engaging at all levels including with senior officials.
- Experience of handling sensitive information, displaying tact and diplomacy whilst maintaining confidentiality.
