Position Summary
The Data Protection Administrator (DP Administrator) will be an important addition to the Data Protection Team (DPT). Reporting directly to ICF’s Data Protection Officer the DP Administrator will perform administrative duties to support the DPT.
The primary and key activity for the successful candidate will be the management of the Data Protection platform ‘One Trust’. Several other administrative duties, such as maintaining ICF’s Records of Processing and ICO Notifications will ensure the role remains varied and interesting.
No previous Data Protection experience is necessary as full training and development will be provided by the more senior members of the team. However, some systems administrative experience would be beneficial but again not essential.
ICF is looking for a smart, enthusiastic individual who is quick to learn and is interested in pursuing a career in Data Protection compliance.
Responsibilities
Work as part of a team under supervision to:
Maintain and manage the ‘One Trust’ system, which will include:
Following up on outstanding tasks
Maintain and manage inventories
Manage business reporting
Ensure timely updates within the platform reflect changes in ICF organisational structure
Be the first point of contact for communications to the DPT by managing the team’s mailbox.
Ensure ICO Regulatory Notifications are kept accurate and up to date.
Liaise with ICF Business contacts to ensure the business Records of Processing are maintained and updated according to the ICF’s Policies and Procedures.
Triage workflow via the ‘One Trust’ system working closely with senior members of the DPT.
Aid and support the senior members of the team in relation to various internal and external key events and meetings, for example, preparation of Board Presentations, event registration, and travel.
Maintain and update the DPT’s Intranet presence along with other communications channels, such as Viva Engage
Ensure data protection training and guidance materials are published and maintained
Provide general administrative support in relation to the DPT’s annual activity planner
Identify and initiate annual supplier assessment reviews
Provide administrative support to ensure ICF is able to comply when data subjects exercise their right of access etc. in line with internal policies and procedures
Aid in the Data Privacy Impact Assessment process to ensure timely completion of annual reviews
Qualifications
Relevant A-levels and/or further education qualification
Proficient in Microsoft Word/Excel/PowerPoint
Spreadsheet and database management experience
Excellent communication skills, including demonstrated phone and email enquiry handling
Strong attention to detail and quality assurance of management databases and reports
Proven high degree of determination to meet the needs of the DPT’s internal clients
