The Workplace/Facility Coordinator is a key member of the Cushman & Wakefield onsite account team for the client and has a dual reporting structure into a site leader and the programmatic Workplace Experience Manager. This individual shall provide a positive experience at the client’s offices, ensuring that employees feel well supported and productive.The Workplace/Facility Coordinator will provide tactical support related to workplace tools and processes to ensure the facility remains ready to receive employees each day. This individual will be the eyes and ears of the workplace, and the first line-of-response for all employee needs, partnering with cross functional teams to help take the employee experience to the next level in support of the client’s workplace priorities.

positive attitude and exceptional communication skills and can support facilities management and operations professionals in a faced-paced environment. We are looking for a collaborative, energetic self-starter who will thrive in situations where they can interact with and help people.
Job Description
Responsibilities:
- Greet visitors and coordinate badging with office security.
- Maintain conference/group room and event scheduling and preparation.
- Maintain office aesthetics and organization.
- Order breakroom and office supplies.
- Mail/package handling - receiving, delivering, shipping, etc.
- Initiate operations tasks – e.g., service ticket system requests; office systems and equipment repairs; furniture or internal office moves, coordinate and facilitate office safety programs, track office supply expenditures, process client purchase orders, track invoicing, track/record purchase card expenses, monitor space utilization and assign workstations, etc.
- Help plan, facilitate, and coordinate events sponsored by client’s Life programs, e.g.; Wellbeing, Giving and Doing, Belonging and Diversity, Benefits, and more.
- Vendor/Service-Provider relationship management and oversight related to office services – e.g.: coffee/snacks, office supplies, confidential shredding, first aid supplies, plant maintenance, server room HVAC maintenance, janitorial supply management, etc.
- Liaison to Landlord/property management on all building/site/maintenance issues.
- Liaison and support/coordinate between multiple departments. E.G., Facilities Management, Global Safety, Business Technology, Benefits and HR, Life/Employee Programs, Local Leadership, Environmental Health & Safety, Legal & Compliance, Marketing, etc.
- Create and manage work orders in multiple systems.
Skills:
- Experience in a fast-paced, professional setting preferred
- Some college preferred
- Preferred competencies: strong organizational skills, focused attention to detail, time management, adept and eager learner of new technologies and systems, and the ability to quickly adapt to changes in office environment.
- Self-direction with the ability to recognize where/when incentive is needed.
Qualifications:
- High School Diploma or GED equivalent
- Minimum of 1 year of facilities, workplace operations and/or customer service/hospitality industry experience
- Experience reconciling budgets for day-to-day workplace operations
- Strong computer/tech literacy including experience with Microsoft Office 365 suite of products: Outlook, Word, Excel, PowerPoint, etc.
- Excellent, professional written and verbal communication skills.
Work Environment:
This is a front office position in a professional environment. The Workplace Coordinator routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and break room countertop equipment.
Physical Demands:
The physical demands described here are representative of those needed to perform the Workplace Coordinator duties satisfactorily.
- Ability to stoop, stand, climb, and lift a minimum of 25 lbs on a regular basis.
- Ability to read and understand standard professional verbal and written communications.
- Ability to clearly see and read documents (including small print), signage, warning labels, equipment manuals, and instructions in standard typeface.
