Center for Autism & Behavior Analysis, a leading in-home ABA therapy agency dedicated to assisting children on the autism spectrum, is currently seeking an organized, detail-oriented, and dedicated individual to fill the role of Client Services Coordinator. The successful candidate will be an exceptional communicator, a keen listener, and eager to make a meaningful impact in the lives of our clients and their families.

Key Responsibilities

As a Client Services Coordinator, you will perform a vital function within our organization, encompassing a variety of roles including:

  • Consultation: Facilitate initial consultations with potential clients, typically parents or guardians, to identify their needs and provide insights into our services.
  • Intake Process: Manage the client intake process efficiently, including explanation of necessary paperwork, collection of relevant information, and verification of document accuracy.
  • Client Pairing: Utilize an in-depth understanding of our therapists' abilities, expertise, and availability to optimally pair clients with suitable therapists.
  • Information Management: Maintain comprehensive, up-to-date records of client information, therapy schedules, and therapist availability using our proprietary systems and software.
  • Authorization Management: Ensure all therapy services are appropriately authorized and that necessary documentation is in place for insurance purposes, while handling renewals, changes, and any authorization-related issues.
  • Staff Credentialing: Oversee the credentialing process for Registered Behavior Technicians (RBTs) and Board Certified Behavior Analysts (BCBAs), ensuring that all staff meet the necessary qualifications and maintain their credentials according to professional standards.
  • Communication: Act as the primary liaison among clients, therapists, and internal teams, ensuring smooth and effective communication that meets and surpasses client expectations.
  • Client Support: Deliver ongoing support to clients, efficiently addressing inquiries, resolving issues, and proactively meeting their needs.
  • Collaboration: Work closely with our therapy team to ensure smooth transitions for new clients and effective communication between therapists and clients.
  • Quality Assurance: Participate in quality assurance activities to maintain our high service standards, ensuring client satisfaction and positive outcomes.

Qualifications and Experience

  • Bachelor's degree (preferably in Business, Psychology, Healthcare Administration, Sociology, Liberal Arts, Communications, Social Sciences, or a related field).
  • Proficiency in Microsoft Word and Excel.
  • Excellent written and verbal communication skills, with a strong ability to articulate complex concepts clearly and concisely.
  • Excellent active listening and empathy skills.
  • Robust interpersonal skills and the ability to build positive relationships with clients, therapists, and internal teams.
  • Superior organizational and time management abilities, capable of juggling multiple tasks, setting priorities, and meeting deadlines.
  • Acute attention to detail, ensuring accuracy in all aspects of client data, documentation, and scheduling.
  • Strong problem-solving and critical-thinking skills.
  • Ability to quickly adapt to different computer systems, software applications, and client management platforms.
  • Professional demeanor, respect for confidentiality, and a commitment to high ethical standards.
