Over twenty years ago Pentland set up Design Pool, since then it has nurtured more than 200 creatives from across four continents – giving them a launch pad into our brands and many varied creative careers.
We are looking for a dynamic motivated, highly organised, Creative Assistant to provide administrative support to the Creative Talent & Network Director to help her support Design Pool, whilst the Design Pool Manager is on maternity leave.
You will work with internal brand teams, universities, charities, and social enterprises, maintaining a culture of world class design, curiosity, craft, and energetic environments.
Design Pool is the fresh creative fizz at the heart of Pentland Brands.
The role you’d play:
- Diary management and inbox management – organising all aspects of diary; including organising meetings both internally and externally and travel arrangements (UK and International).
- Ensure Creative Talent Director is set up for success with upcoming meetings and deadlines, handling of confidential and sensitive information with the upmost discretion.
- Long term calendar management ensuring all activities run smoothly.
- Collating monthly UK and international expense claims.
- Managing and maintaining filing and archiving server
- Invoice management, coding, and correct allocation.
- Management of creative events, internally, externally, and virtually across Design Pool teams & Brand Creative teams.
- Event agenda and compiling content and preparing event materials.
- Being the point of contact with internal & external partners.
- Managing Design Pool annual leave requests, absence processes, expenses new starter set up, inductions, co-ordinating the performance review process.
- Manage department area and ensure stationary and IT equipment is up to date.
- Assisting Design Pool across all Pentland locations with meeting set up and time management
- Scheduling work experience placements throughout the year- ensure all risk assessments completed with facilities.
- Proactively identifying opportunities to improve current processes and increase efficiency and effectiveness within the teams
- Preparing presentations and other communications.
What you’d bring / be:
- Relevant experience of working as an assistant at head of function/department level.
- Advanced user of Outlook, Word, Excel, Teams, and PowerPoint.
- Great at putting presentations together.
- Attention to detail and time management skills.
- Ability to understand and anticipate needs to ensure appropriate outcomes.
- Ability to remain professional and maintain confidentiality with sensitive people related data and information.
- Wonderful with people.
- A can-do attitude.
Desirable
- Event and Project Management experience.
- Experience using Adobe suite Photoshop, Illustrator and InDesign.
- Have a firm awareness of current visual and cultural trends.
