Job description
You will be part of the Facilities Management team based at the Civic Centre, to maintain internal communications between BCP Council departments, Libraries and other establishments providing a courier delivery service of mail and other items and various associated office administration/reporting functions in the Mail Room.
To become a Courier & Mail Room Assistant, you will need:
- a full UK driving Licence, with at least 3 years’ experience of driving
- to be well organised and reliable
- to pay attention to detail
- have good communication skills including the use of Outlook, Word and Excel
- have a friendly personality and work well as part of a team
- training is mostly on the job, so a willingness to learn and develop
What will I be doing?
Distribute mail (letters and parcels) & other items around the organisation and external sites.
Distribute central supplies, such as furniture, kitchen consumables and stationery.
You would be responsible for collecting, opening and date-stamping mail, and sorting the contents into bundles to be sent to departments or individuals.
Sorting the post is not always a straightforward process. You sometimes need to scan or record the arrival of cheques or important documents. You might have to deal with suspicious, damaged or wrongly-delivered letters and parcels.
You will also collect outgoing post from departments and deliver to a central sorting area, where you and colleagues will assist with onward transmission. You will be required to learn how to operate machines such as the franking machine and a folding and inserting machines.
The end of the day is usually as hectic as the beginning. You'll often sort mail into crates for collection by Royal Mail or a private delivery service. You will deal with special types of correspondence such as recorded or special delivery letters or airmail.
You will also be required to perform administrative duties, such as emails, word processing, inputting data, answering the phone and dealing with both internal and external individuals.
This job will be very active. Courier & Mail Room Assistants will deal with heavy items, including crates of Library books and sacks of confidential waste. You will be required to keep the mail room and the courier vehicles clean and tidy.
You will be required to drive to external sites (transport provided) to collect outgoing and delivery incoming mail, parcels and archive boxes.
Where would I work?
Your base will be the BCP Council Civic Centre, in Bourne Avenue, Bournemouth.
Additional hours/overtime?
You may be required to work overtime when required to cover heavy work periods and meet deadlines and cover Civic events.
