We are seeking an exceptional Charity Coordinator to join our friendly team.
This post is full time (37.5 hrs/week), though hybrid working is standard and we would consider part-time and flexible working hours.
The Red Hen Project’s Charity Coordinator role sits at the heart of the day-to-day life of the charity. You will ensure that we are responsive, effective and efficient in our work, and so achieve our vision and mission. Working closely with the CEO and Head of Service Delivery, you will play an important role in supporting the day-to-day running of The Red Hen Project and ensuring it continues to thrive and develop. Excellent communication and IT skills and the ability to multitask and assertively prioritise are essential requirements for the success of this role.

About the Red Hen Project
The Red Hen Project is a local charity working with primary schools in Cambridge, supporting children their families. We were registered as a charity in 1998 and in 2019 we became a Charitable Incorporated Organisation (CIO).
Our visionis a welcoming community where families are supported and empowered to raise independent, happy, healthy children who in turn grow up to fulfil their lives and engage fully with society.
To achieve this vision, we support children aged 3-11, their families and communities in North Cambridge, focusing our attention on those who are experiencing challenges in their lives. We promote and enable positive, confident parenting and cooperative relationships between schools and families.

Job Purpose
The Red Hen Project’s Charity Coordinator role sits at the heart of the day-to-day life of the charity. You will ensure that we are responsive, effective and efficient in our work, and so achieve our vision and mission. Working closely with the CEO and Head of Service Delivery (HSD), you will play an important role in supporting the day-to-day running of The Red Hen Project and ensuring it continues to thrive and develop. Excellent communication and IT skills and the ability to multitask and assertively prioritise are essential requirements for the success of this role.
Main Duties and Responsibilities
SERVICE DELIVERY
· With the delivery team, create an environment that supports children and families to have their voices heard and maintains a holistic response to their needs
· Manage the charities calendar identifying priorities and commitments
· Plan and organise internal and external meetings
· Support HSD with monitoring and reporting on referrals, caseloads activities and outcomes
· With the HSD, ensure the effective systems and processes for safeguarding are adhered to, including managing the safe electronic storage of sensitive information and safer recruitment practices
· Coordinating the production of routine monitoring reports to funders
· With the HSD, ensure the coherent design and smooth running of monitoring and evaluation systems, running reports for the senior team and board as required
· Contribute to the capture of feedback for monitoring and evaluation data - both qualitative and quantitative
GOVERNANCE AND PLANNING
· Manage communication with the board of trustees
· Arrange and facilitate board meetings
· Attend and keep minutes of board meetings
· Coordinate the production of quarterly board papers
· With the CEO and board, coordinate the charity's compliance with the law
· Coordinate production of the annual report and charity commission return
· Coordinate a programme of policy review by the CEO and board
· With the CEO and HSD, coordinate processes and procedures of risk management, such as health and safety practice, maintaining appropriate insurance levels and data protection
· Alongside the whole team, take part in the development of ideas and strategic planning for The Red Hen's Project's future
FINANCE AND FUNDRAISING
· Maintaining contracts with suppliers
· Support the fundraiser with research and intelligence about fundraising opportunities.
· As directed by the CEO and fundraiser, communicate with donors and update client relationship management systems
· With the CEO and fundraiser, support the process of applying for and monitoring philanthropic and statutory grants
· With colleagues and within the scheme of delegation ensure the charity is operating within financial regulations and is using sound management of resources
· With colleagues, ensure that expenditure is appropriately attributed to projects
· Make use of IT systems to coordinate the work of the charity - create work plans, log tasks and monitor progress within Asana and our Microsoft Teams environment
TEAM
· Managing our cloud-based HR system and supporting the senior team by tracking the charity's annual appraisals system, annual leave and other key HR processes
· Recruit, onboard, deploy and support volunteers, ensuring they feel valued and heard
· Supporting the CEO and Head of service delivery by coordinating the process of recruitment, selection and induction of staff and volunteers
· Manage the charity's DBS processes ensuring compliance with the law and requirements of funders
· Proactively contributing to a positive culture, celebrating the diversity and inclusivity of our team
· Taking individual responsibility for escalating any concerns about practice and quality through appropriate line management routes
· Provide cover for colleagues as appropriate, in consultation with your line manager. This may include acting up into more senior roles
PARTNERSHIPS AND COMMUNICATIONS
· Answering and screening calls, emails and messages in order provide a warm and professional first point of contact for the charity
· Triage enquiries to the right person within the team when they can’t be dealt with directly
· Collate and provide accurate and up-to-date information about the charity
· Build and maintaining positive working relationship with referrers and partners
· Support the development of collaborations, liaise with partners and take part in networking
· With the senior team and communications coordinator, draft correspondence and communications
· Support the communications coordinator to monitor social media channels and respond to comments and messages as required
MANAGING YOUR OWN PERFORMANCE AND DEVELOPMENT
· Prioritise and manage own time effectively, balancing the demands on your time with support from your line manager
· With your line manager, take responsibility for your professional development by accessing learning and training opportunities
· Access team and individual supervision where appropriate
· Participate in your own appraisals and participate in the appraisal of team colleagues
OTHER DUTIES & RESPONSIBILITIES
· Due to the type and size of the organisation, you will need to be flexible, creative and self-sufficient, without the need for close management
· The nature of the work may involve the jobholder carrying out occasional work outside of regular working hours, i.e. evenings and weekends
· You will be expected to undertake other duties and responsibilities appropriate to your salary and the overall purpose and principles of the role
