Regency Ltd are an award winning and expanding business. Our Head Office team located in Prestwick supports the North, East, and West regions across the UK.
Role Description:
The successful candidate will be responsible for providing administrative and customer service support to the MOJ Contract Manager, Head Office, and the wider business.
Essential Duties & Responsibilities:

Key Role and Responsibilities
- Answer incoming calls to the office.
- Manage schedules and booking of all client jobs.
- Communication with field staff, clients, key holding service and site security.
- Proactive communication to ensure all jobs proceed on agreed date and time.
- Recruitment Support- create job descriptions, place adverts, conduct screening interviews.
- Book accommodation for field staff.
- Research supplies and suppliers and order and organise delivery for field staff.
- Coordination of in house or manufacture equipment repairs for field staff.
- Coordination of equipment hire and delivery for field staff.
- Arrange vehicle service, maintenance and hiring for field staff.
- Coordinate and organise waste management for field staff.
- Project management including organising relevant Health and Safety documents.
- Attendance at client meetings
- Support Regency’s cross training by creating and maintaining instructions on how to carry out key functions and tasks.
- Subject to the demands of the business provide support to all Key Field and Office Functions
Our Requirements
- Proven track record in project management and administration or similar
- Attention to detail and accuracy with data entry essential.
- Proven ability to multitask with excellent organisational skills.
- Strong commercial awareness and a passion for getting the job done to the highest standard.
- Excellent communication skills, both verbal and written
- Competent IT and numeracy skills
- Proficiency with Microsoft Office applications
- Ability to work on own initiative and as part of a team.
- A positive can-do attitude which installs confidence in others
- Ability to travel to client sites by company vehicle or public transport, possible overnight stays.
- Although not essential, knowledge of the Facilities Management and Service industry in general would be an advantage.
- Although not essential, experience in general, carpet and trauma cleaning would be an advantage as infield service delivery may be required - training will be provided.
Job Types: Part-time, Permanent
Part-time hours: 35 per week
Salary: £10.00-£12.50 per hour
