The College

West Dean College of Arts and Conservation is part of The Edward James Foundation, a registered charity which also comprises of West Dean Gardens, West Dean Estate and West Dean Tapestry Studio. The College has three academic Schools: The School of Arts and the School of Conservation based at West Dean, and The School of Design, based at Chelsea Harbour, London.

The Role

We are recruiting for a full time, permanent Junior Project Manager to join our Building Maintenance Team. This role will mainly be based at West Dean near Chichester, however occasional days will be required to be worked at our London Campus.

The role will entail coordinating the schedule, budget, and details of projects, ensuring that the project management framework is well organised and effective and ensuring that relevant departments are communicated with. The person will also be responsible for organising reporting, planning meetings, and providing update to relevant stakeholders.

  • Assist and support the Property & Facilities Manager with day-to-day and capital projects, ensuring these meet the Foundation’s current and future needs.
  • Determine and define project scopes and objectives, design and control the project brief and schedule, clearly outlining project objectives.
  • Assist in the selection, appointment, contracting and briefing of professional teams for projects.
  • Organise, manage and maintain all project-related paperwork.
  • Develop and manage a detailed project schedule and work plan, monitor progress and measure project performance to identify areas for improvement and make adjustments as needed.
  • In liaison with the Property & Facilities Manager set and adhere to a budget based on scope of work and resource requirements that implements cost-saving measures, putting forward options as necessary to control and manage variances against budget over the lifetime of the projects.
  • Coordinate all project team members so workflow remains on schedule.
  • Consistently monitor the costs, progress and quality of a project, ensuring deadlines are met.
  • Negotiate with contractors and suppliers, seeking ways to increase the projects profitability and reduce expenses where possible.
  • Prepare presentations and take part in project meetings to update stakeholders on the projects progress and value, proposing adjustments as required.
  • Communicate with stakeholders to continuously define project objectives and strategy, project risks and opportunities, and progress.
  • Maintain good relationships with external stakeholders including, amongst many others, adjoining owners, local Planning Authorities (including the South Downs National Park Authority), Historic England and funding organisations.
  • Ensure the current standard specification document is up to date and amend with relevant products if required. Investigate if there are more sustainable products on the market, present these products to the sustainability working group and introduce to the specification if approved.
  • Collate and review building Operation and Maintenance manuals, storing in appropriate locations. Review older O&M manuals and remove items no longer relevant.
  • Ensure warranties for any new equipment is added to the CAFM system and all operatives are aware of the dates these are valid.
  • Adding or deleting assets that have been added or removed during the course of a project. These will be added to the CAFM system ensuring appropriate maintenance is completed.

The Person

To be successful in this role you will need to have experience in Project Management or a similar role, have strong organisational skills and excellent IT skills with experience of AutoCad and Microsoft 365.

In addition, this role requires excellent team working and collaboration skills.
