JOB ROLE Compliance Officer
RESPONSIBLE TO Head of Property
OPERATIONAL BASE Head Office
Job Purpose:
Ensure the safety of My Space tenants and staff through the effective management of certification. To be the ‘responsible person’ for asset compliance and support the local Housing teams.
ESSENTIAL FUNCTIONS:
Responsibilities -
Ensure My Space meets its statutory landlord compliance obligations in regards of areas such as gas, electric, lifts, legionella, asbestos, EPC and fire safety.
Maintain accurate and robust asset data by undertaking daily reports and producing weekly Audit information to consistently achieve and exceed the performance standards of 98%.
Check all certificates received are correct then updated onto the system as soon as possible. Any unsatisfactory certificate remedials to be arranged within 1 week.
Chase any outstanding certification within 30 days of expiry for both Developments and Community properties. Facilitate visits by contractors and others through local Housing teams.
Any outstanding certifications must have a rebooked appointment until the third visit at which point you will assist Housing in applying for an injunction.
Assist with processing tenant recharges for missed visits via AllPay/Finance.
Liaise with the Asset team over Fire Risk Assessment outstanding actions. Ensure actions are completed within 1 month of receiving assessment.
Liaise with contractors and attend review meetings. Provide information to assist in performance management of contractors.
Assist in the procurement and appointment of external consultants and contractors as required to ensure the effective and efficient delivery of compliance services.
Raise any Compliance Purchase Orders for approval.
Monitoring the organisations compliance with regulations and internal policies to ensure they are up to date with the relevant laws.
Educating employees on compliance regulations and the impact of non-compliance on the organisation.
Assisting in the gathering of information internally in response to requests by regulatory organisations and Superior Landlords.
Reviewing training, marketing materials, websites and presentations to ensure compliance with regulations.
Any other ad hoc tasks to assist with Housing & Asset teams
Person Specification
ESSENTIAL -
Relevant building, maintenance, compliance or facilities management experience
Experience of working within a property compliance environment
DESIRABLE -
Contractor Management experience
Industry relevant qualifications such as NEBOSH, P405, Gas ACS, 18th Edition, CIOB L6 in Building Safety Management or Corgi
SKILLS AND KNOWLEDGE
Exceptional client focus, communication, organisational and interpersonal skills
Proficient use of all Microsoft applications, particularly Excel, Office, PowerBi and Powerpoint
Excellent attention to detail often working to challenging deadlines
First-class organisational skills with a focus on task prioritisation
Uses Information Technology to self-administer and for effective communication
Awareness of confidentiality
Awareness of Health and Safety legislation
Awareness of Property Certification Requirements
