POSITION OVERVIEW:

Startec Compression & Process is currently recruiting for a Master Data Clerk – Supply Chain to work at our Calgary, AB location (9423 Shepard Road SE, Calgary, AB T2C 4R6).

The Master Data Clerk – Supply Chain is accountable for managing and maintaining accurate parts data within an Enterprise Resource Planning (ERP) system (D365 & Microsoft Navision). Reporting to the manager of Supply Chain Management (SCM), the Master Data Clerk – Supply Chain will ensure the integrity, consistency, and completeness of parts-related information and records. The Master Data Clerk – Supply Chain collaborates with various stakeholders, including procurement, inventory control, engineering, and project management teams, to support efficient parts management processes and optimize inventory utilization.

KEY PERFORMANCE INDICATORS (KPI):

DATA MANAGEMENT (Weighting 50%)

Parts Data Management

  • Ensure the completeness and accuracy of parts data by verifying information, conducting regular audits, and resolving discrepancies.
  • Assist in establishing and maintaining standardized coding systems for parts identification and classification.
  • Enter and maintain accurate parts data, including part numbers, descriptions, pricing, suppliers, and other relevant attributes, within the ERP system.
  • Ensure data integrity and consistency by validating reconciling parts information with supporting documentation and records.
  • Coordinate with cross-functional teams to gather, verify parts data, resolve discrepancies, and ensure compliance with data governance standards.

Parts Data Entry & Validation

  • Enter parts data, including part numbers, descriptions, pricing, suppliers, and other relevant attributes, into the ERP system.
  • Verify the accuracy and completeness of parts data by cross-referencing with supporting documentation and records.
  • Perform data cleansing, duplication tasks to maintain clean and reliable databases.
  • Ensure consistency and adherence to data standards and naming conventions.

PARTS ADMINISTRATION (Weighting 30%)

Parts Reporting

  • Prepare reports on parts inventory, usage, and procurement activities as required.
  • Analyze parts data to identify trends, patterns, and opportunities for process improvement or cost savings.
  • Assist in generating reports and extracts from the ERP system to support inventory analysis, procurement planning, and decision-making processes.
  • Perform basic data analysis and validation to identify data inconsistencies, trends, or anomalies.


Parts Documentation & Recordkeeping

  • Ensure compliance with recordkeeping requirements and organizational policies.
  • Maintain electronic and physical files for parts documentation and related information.

TECHNICAL LEADERSHIP (Weighting 10%)

Collaboration & Communication

  • Respond promptly to parts inquiries, provide accurate information, and assist in resolving any issues or concerns.
  • Collaborate with procurement teams to update and maintain parts catalogs, supplier information, lead times, and pricing data within the ERP system.

CONTINUOUS IMPROVEMENT (Weighting 10%)

System & Procurement Improvement

  • Identify opportunities to streamline parts-related processes, enhance efficiency, and improve data accuracy.
  • Contribute to continuous improvement initiatives and share ideas for optimizing parts administration processes.

TECHNICAL SKILLS:

  • ERP System Proficiency: Strong knowledge and experience working with an ERP system, such as Microsoft D365, and Microsoft Navision. Familiarity with the parts management modules and functionalities within the ERP system.
  • Data Management: Ability to effectively manage parts data within the ERP system, including data entry, verification, and maintenance. Proficiency in data cleansing, data validation, data governance practices to ensure data accuracy and integrity.
  • Parts Catalog Management: Knowledge of managing parts catalogs within the ERP system, including creating new part numbers, updating part descriptions, associating parts with relevant suppliers, specifications, and pricing information.
  • Data Analysis and Reporting: Proficiency in generating reports and extracting data from the ERP system to analyze parts-related information. Ability to perform data analysis, identify trends, track key performance indicators (KPIs), and provide insights to support decision-making processes.
  • Documentation and Recordkeeping: Experience in maintaining organized, up-to-date documentation related to parts data.
  • Technical Troubleshooting: Basic understanding of troubleshooting ERP system issues, resolving data-related problems, and coordinating with IT teams or system administrators to address technical issues promptly.
  • MS Office Suite: Proficiency in using Microsoft Office Suite, particularly Excel for data manipulation, analysis, and reporting. Ability to use Word and Outlook for document management and communication purposes.
  • Communication and Collaboration: Strong interpersonal and communication skills to collaborate effectively with cross-functional teams. Ability to explain complex data concepts and provide support to users of the ERP system.

QUALIFICATIONS:

  • Bachelor's degree in business administration, diploma in supply chain management, engineering, or a related field.
  • Relevant work experience may be accepted in lieu of a degree or a parts technician trade indentureship.
  • Minimum of 3 years of experience working as a parts administration/technician, data management, or a similar role, preferably within an ERP environment.
  • Familiarity with ERP systems, particularly modules or functionalities related to parts management, D365 & Microsoft Navision experience is considered an asset.
  • Strong attention to detail and accuracy in entering and maintaining parts data records.
  • Proficiency in using data management tools, software, or ERP systems for data entry, validation, and maintenance.
  • Excellent organizational, multitasking skills, with the ability to prioritize tasks and meet deadlines.
  • Strong communication skills, both written and verbal, to effectively collaborate with stakeholders to explain complex data concepts.
  • Analytical thinking, problem-solving abilities to identify data issues, perform data analysis, and propose solutions.
  • Proficiency in using Microsoft Office Suite (Excel, Word, Outlook) and other relevant software applications.
