Job Summary:
Certification and Training Coordinator
Position Summary
Data entry of all STCW certification and Marine and Engineering Officers and Crew national medical certificates. Training-related administration, in addition to any other administrative tasks required.
This role will require you to be onsite 4 days a week.
Responsibilities
- Data entry of all STCW Safety Certification for all Officers and Crew 
- Data entry of all national seafarer medicals for Marine and Engineering Officers and Crew 
- Make and track all Bahamas Maritime Authority Endorsement applications for Marine and Engineering Officers’ Certificates of Competency 
- Process all Marine and Engineering Officers’ Professional Training application forms 
- Reconcile all training-related costs charged to the Disney Cruise Line UK Office CTA card and resolve any queries with external vendors 
- Process discharge certificates requiring endorsement by The Bahamas Maritime Authority and/or Bahamian High Commission 
- Submit shoreside short-term assignment / Magical Contract requests as appropriate for Marine and Engineering Officers attending Professional Training or CoC Revalidation training 
- Manage application and tracking process for Bahamian Seaman’s Books 
- Assist HR Director and team as required and instructed 
- Provide clerical support for team as required including, but not limited to, travel arrangements and expense accounts 
Basic Qualifications – What You Will Bring to the Team
- At least two years’ experience in an administrative role 
- Strong written and verbal communication skills 
- Exhibit necessary technical understanding and capabilities in HR systems and Microsoft software tools 
- Diplomacy, strong business acumen, integrity and ability to handle confidential information 
- Demonstrated computer proficiency with Excel, Word, PowerPoint and SharePoint 
- Aptitude to quickly learn 
- Organized with a strong attention to detail and accuracy; excellent follow-through skills 
- Able to be flexible, proactive, highly organized, and able to easily shift priorities 
- Able to work independently, with limited or no supervision at times 
- Ability to take initiative and build positive and productive personal & professional relationships 
- Previous shipboard experience a plus. 
- Knowledge of Maritime Training requirements / International Convention on Standards of Training, Certification and Watchkeeping for Seafarers beneficial, but not required. 
Education
High school degree or equivalent required;
