The Centre for Applications of Mathematical and Computing Sciences (CAMaCS) is seeking an enthusiastic administrator to deliver a professional, effective service that supports it’s world class activity. This is an excellent opportunity to join the Professional Services team as we further develop our administration to accommodate departmental and University wide initiatives in the pursuit of service excellence.
The postholder will support the Centre’s management team, working with the Director, Programme Manager and other senior colleagues on strategic matters, including the Centre’s development as well as day to day responsibility for the Centre’s operation. Proactive engagement with a range of departments within the University as well as various external organisations is an essential aspect of the role. Other responsibilities include finance, human resources, communications, space management and research grant support. Planning for new activity and provision of advice and support to all staff, students and visitors who interact with the Centre are vital responsibilities within the role.
The successful candidate must have a good first degree, as well as the ability to handle data proficiently and the confidence to develop an understanding of the information systems. Essentials include strong IT skills, including the use of spreadsheets and databases, experience in constructing and maintaining websites, experience of managing grants, together with excellent problem-solving skills and the ability to learn quickly. Candidates should also be able to demonstrate strong interpersonal skills including the ability to liaise effectively with academic and other colleagues at all levels and to address and communicate information to individuals and groups, both verbally and in writing.
The postholder will have substantial administrative experience with a strong background in data management and use of IT systems. As a successful applicant, you will be flexible in approach, interested in developing your skills and enjoy problem solving. A good general knowledge of the Higher Education sector and the research environment in particular would be beneficial.

Job Description
To provide operational and administrative management in support of the Centre for Applications of Mathematical and Computing Sciences (CAMaCS) projects to ensure that agreed outcomes are achieved efficiently, within budget and to appropriate timescales. A key part of this role will be to interface between the three partner academic departments (Mathematics, Statistics and Computer Science) to ensure seamless operations.
To lead the management of a portfolio of multidisciplinary research and knowledge transfer projects to ensure that the project objectives are achieved, the projects communicate their findings and operate within budget and resource constraints, including the provision of monitoring and reporting of activities and to facilitate overall successful delivery of the projects.
DUTIES AND RESPONSIBILITIES
General
- Operational management of the projects on a day-to-day basis, including staff budgets, resources and planning. This includes developing and maintaining processes for data capture and maintaining the Centre’s risk register.
- To be a source of expert knowledge regarding University policies and procedures and to navigate these in order to deliver CAMaCS strategic objectives.
- Consulting and engaging with key internal and external stakeholders in the projects to ensure the project plans stay on track.
- Maintaining and reporting key performance indicators (KPIs) and service level agreements as per the projects’ contracts.
- Monitor and maintain data relevant to both EDI and RRI streams in order to ensure reporting capabilities and generate clear directions for improvement compatible with Athena SWAN Methodology.
- Managing administrative personnel issues for the projects, overseeing recruitment and all associated paperwork, and liaising with HR as required.
- Management of diary and travel arrangements for the Centre.
Financial and budgetary management
- Working with the finance officers in each of the partner departments to develop appropriate structures for financial monitoring and processing transactions, including raising purchase orders, processing transaction and reconciling/attributing income and expenditure between departments.
- Liaison with the Principal Investigator (PI), Research Finance and other relevant teams at Warwick regarding financial management of the projects and regular monitoring of the budget to facilitate planning and decision-making.
- To provide input into the five-year planning process for Mathematics, Statistics and Computer Science in order to make sure that CAMaCS targets and resourcing needs are appropriately considered in the planning.
Research grant administration
- Coordinating project work streams, ensuring effective information flow between work streams and partners.
- Liaising with staff working on the research projects, for reporting and monitoring purposes.
- Ensuring that projects meet governance and compliance requirements (e.g. Personal Data including GDPR, ethics, timesheets completed by staff if required, any reporting deadlines met). This will include secretariat support for relevant committees and meetings.
- Maintaining and reporting key performance indicators (KPIs) and service level agreements as per the projects’ contracts.
Events, communication and outreach
- Act as first point of contact for external and internal enquiries about CAMaCS.
- Developing and implementing strategies to achieve effective and visible communication and dissemination for the projects to a wide range of internal and external stakeholders, including but not limited to production of quarterly reports, establishment and management of project websites and dealing with media coverage and publicity.
- Arranging of conferences, seminars and other events related to research projects.
- Development and maintenance of website, social media and marketing materials.
Any Other Duties
- Any other duties deemed commensurate with the grade as required by the CAMaCS Programme Manager, CAMaCS Director or Head of Administration in the Warwick Mathematics Institute.
