The role:
The health, wellbeing and pastoral care of our 17,000 students and 2,500 staff is of the utmost importance here at Surrey, and you will have an important role to play in the function of this crucial team.
We are looking for a self-motivated and adaptable individual who will provide front-line administrative support to the Centre for Wellbeing, our students and staff, and the wider Wellbeing and Welfare department. You will have the ability to apply empathy whilst maintaining a professional approach in all you do.
You will have excellent customer service experience and thrive in an ever-changing environment. You will also take responsibility for managing professional support systems, procedures and activities that facilitate the effective running of the wider department.
Other responsibilities include:
- Be the first point of contact and act on all incoming correspondence and enquiries by ensuring the appropriate action is taken, whilst maintaining a high level of confidentiality and providing a seamless, positive experience for clients.
- Accurate administration of the service databases, ensuring that client records are kept up to date and that confidentiality is maintained at all times. Adhering to GDPR regulations at all times.
Assist in the promotion of the Centre for Wellbeing at various events throughout the year on campus. This is vital for awareness of our service amongst our students and staff.
- Answering telephone and email enquiries. Ideally you would also have an understanding of and support the Centre in the maintenance and development of the website and promotional materials.
- Provide reception and administrative support to immediate team members and all staff within the Centre for Wellbeing team. This will include but is not limited to, secretarial duties, such as organisation of meetings, minute taking, booking rooms, compilation of statistics and ordering catering as required.
- The workload will be variable and demanding, often dealing with stressful and complex queries on occasion in a face to face setting. The ideal applicant will have excellent communication and administrative experience, preferably within Higher Education, Health or related sectors. Some flexibility in terms of hours may also be required due to the demands on the service at varying times throughout the year.
