Within Care and Rehabilitation Services, the philosophy of our prisons is to rehabilitate offenders and equip them to re-integrate into mainstream society on release. We seek to normalise prison conditions as far as possible to reflect life in the outside community. Our aim is to create an environment in which staff and prisoners feel safe and causes of prison stress are minimised. Central to our philosophy is the relationship between staff and prisoners. Our training and operational practices emphasise the need to treat prisoners with dignity and respect and G4S staff build positive and supportive relationships with the prisoners in their care. HMP & YOI Parc accommodates 1038 convicted male adult prisoners and remand/ convicted young offenders and young people in a secure but modern environment.


We now have an opportunity for a Case Administrator to join our OMU team at HMP Parc to provide administration support for the OMU function at HMP & YOI Parc. Working within the OMU team in a very busy office environment with set deadlines, you will ensure the effective implementation of procedures relating to Offender Management both within HMP/YOI Parc and within the wider community. Case Administrators will be the main point of contact for staff, prisoners, Prison Offender Managers and counterparts in the community, working closely with all parties to ensure prisoners are risk assessed, interviewed and reviewed within required timeframes. Case Administrators will ensure that sentences are calculated in accordance with relevant Prison Service Orders and frameworks and that unsentenced prisoners are lawfully remanded. Put simply, Case Administrators will work closely with all parties, both inside and outside the prison, to complete the entire process of a prisoner entering and leaving the prison, ensuring this is done lawfully and in accordance with current guidelines.


The successful candidate will work closely with external partners to ensure offenders are risk assessed, interviewed and reviewed within the required timeframes. They will also be the main point of contact for staff, offenders, Offender Managers and Case Administrators within the Community.


Key Responsibilities



To provide full administrative support for Offender Management, including a number of different tasks outlined below and ensuring that policies and procedures are followed:

  • Receptions/Calculations: in order to complete and verify a sentence calculation, ensure that the correct documents (ie remand orders, imprisonment orders) are received and updated correctly, also calculating sentence in accordance with Prison Service Instructions/Orders or frameworks, including Home Detention Curfew (HDC) and Release on Temporary Licence (ROTL) dates. Ensure that all relevant parties are notified of essential information such as release dates, court dates and alerts.

  • 14 day checks: process and check prisoners due for release 14 days prior to their release date and create a licence as applicable. Liaise with Community Offender Managers (COMs) to ensure that correct licences are processed and any conditions or reporting instructions are included, informing all relevant parties, such as Police and Social Services, of the release.
  • Parole: request reports directed by the Parole Board and ensuring all such reports are received within set deadlines, uploading all relevant paperwork and reports to the Parole Board central database. Facilitate oral hearings, which can be held face to face, via videolink or telephone, and liaise with internal and external parties about such arrangements. Process releases directed by the Parole Board. You will have contact with prisoners during oral hearings and will also deliver parole dossiers and any subsequent decisions made by the Parole Board within required timeframes.

  • Public Protection: complete Public Protection arrival and release paperwork and inform relevant departments internally and externally to ensure members of staff, the public and victims are kept safe.

  • Crown Courts: daily checking of Crown Court lists and ensuring that the correct prisoners are processed for court or videolink hearings.

  • HDC/ROTL: complete required paperwork and checks prior to consideration for release under these schemes, ensuring relevant dates are entered on all systems. Liaise with COMs for required information and ensure licences are correct prior to processing for release.

  • Compliance: manage the allocation process to appoint a Prison Offender Manager and Case Administrator to each prisoner on arrival to act as a single point of contact for that individual. Manage the timely reviews of OASys assessments and co-ordinate MAPPA reviews.

  • Training: you will be required to attend courses to support you in this role, including:
o Sentence calculations (basic and advanced training)
o Parole Board database (PPUDS)
o Offender Assessment System (OASys)
o Police National Computer (PNC)
o Health and Safety
  • General: deal with routine enquiries and liaise with relevant departments to ensure processes are followed and all custody based work is dealt with in a professional and timely manner. Any other duties as requested by the Head of Function and OMU Management Team. Maintain an accurate current computer based information system of prisoner records to ensure information is available to relevant staff and agencies.

  • Act in accordance with security and operational instructions at all times to ensure the maintenance of security within the secure environment.

  • Assist in maintaining a positive Health & Safety culture in line with British Safety Council 5 Star standards.

The Ideal Candidate:


Essential Skills

  • Educated to GCSE standard
  • Experience of IT systems and databases is essential

Desirable Skills

  • Knowledge of OM and Custody Office processes.
