Job Purpose
You will provide effective and efficient administrative support to Careers and Global Opportunities, acting as first point of contact for, students, employers, graduates, partner institutions, academics and other enquirers. Also, you will manage and maintain administrative processes relating to a range of programmes delivered by Careers and Global Opportunities.
Main Duties and Responsibilities
1. Provide first point of contact for all email, telephone and helpdesk enquiries received from students, academics, employers, graduates and third parties. Respond effectively or forward to relevant areas within the Service where enquiries are more complex.
2. Follow agreed criteria to review and process graduate and employer accounts, vacancies and events within Glasgow Careers portal. Upload data to Glasgow Careers and create reports to agreed criteria.
3. Provide administrative support to the Employer Engagement Team for preparation of recruitment fairs and employer activity on campus. Ensure all equipment is collated, shipped and returned advising of any breakages and loss. Physically handle and transport small equipment to various venues on campus. Support the delivery of virtual events via Zoom.
4. Meet and greet employers at events on campus and assist Event Managers at recruitment fairs, including set up and close down.
5. Process purchase orders, sundry payments and sales invoices in line with University policy and procedure.
6. Reconciliation of budgets and financial transactions in line with University policy and procedure..
7. Using mail merge and Forms process payments and update records for scholarship awards
8. Undertake other duties as commensurate with the post as required by the line manager.

Knowledge/Qualifications
Essential
A1 Either: Scottish Credit and Qualification Framework level 5 or 6 (National 5 or 6, Scottish Vocational Qualification level 2 or 3) or equivalent ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills in a similar role/via relevant work experience.
A2 Good working knowledge of MS Word, Outlook, and Excel including mail merging

Terms and Conditions
Salary will be Grade 4, £22,681 - £25,138 per annum pro rata.
This post is part-time (28 hours per week) , term time only (39 weeks per year) Monday – Thursday 9am – 5pm and open ended.
