The Strategy, Policy and External Communications Directorate, is at the heart of delivery of the corporate strategy and arguably the most significant legislative reforms to Companies House since we were set up in 1844.
As the Directorate Business Manager, you will provide support across all teams to ensure we work effectively and efficiently together to deliver all our work to the highest standard. You will provide a quality service, ensuring good governance processes are in place.
You will work closely with the Directorate Leadership Team to ensure that actions from Board/Committees are being progressed, risks are being managed, Directorate meetings and fora are effective, information is shared well, and that our key commitments are being delivered.
Working within the Strategy and Planning team, you will shape and organise business activities for this team, including document storage and retention, risk registers, action logs, audit recommendations and business manager for events and strategy meetings and workshops.
About our Directorate
Strategy and Planning
We are central to the development and delivery of Companies House Strategy. The team support the Executive Board in the setting of the overall direction and priorities and supports the business by developing, implementing, and maintaining corporate plans and monitoring our progress towards achieving them.
Policy
We are responsible for the delivery of all Companies Act(s) related policy changes. We develop new and amend existing legislation in conjunction with BEIS and other government departments. We analyse legislative requirements that may impact us as well as steering the implementation of new legislation and supporting the organisation in its day-to-day operations.
External Communications
Our role is to protect and enhance the reputation of Companies House and to communicate with our external audiences in a compelling way. We break down complex information into clear messages - using the right channels for the right audience at the right time.
We work in a hybrid way at Companies House and attendance to our Cardiff office is mandatory with this role.
Job description
The role includes responsibilities such as the following
- Maintaining a forward look of all reporting requirements and reporting cycles which includes managing commissions for papers and boards across the directorate.
- Tracking when papers are due, supporting owners and drafters, and providing frequent reminders to ensure deadlines are met. Providing support in the production and coordination of papers where appropriate.
- Working across the Directorate to ensure that we maintain good governance and record keeping and are transparent and share relevant documents, templates and tools for strategy and planning purposes with the business.
- Developing and updating standard operating procedures and templates ensuring that all relevant staff have appropriate access and that these are completed compliantly and in a timely manner.
- Maintaining the Strategy and Planning Team’s Planner, risk register, audit recommendations log and other key documentation, ensuring that all significant workstreams are logged, kept on track and updated appropriately.
- Undertaking reviews of our workflow systems and procedures to ensure fit for purpose, making recommendations and implementing new processes.
- Maintaining and continuously improving SharePoint sites, including Strategy and Planning digital documents, SharePoint team pages and the Strategy and Planning Communication Site.
- Organising and facilitating meetings and workshops across the directorate in collaboration with members of Senior Leadership Team. Managing events, strategy days and other workshops, such as the quarterly directorate all-staff fora, and quarterly directorate leadership meetings.
- Maintaining the Microsoft Teams areas for the directorate.
- Support the heads of teams to increase efficiency and effectiveness and governance processes across the Directorate.
- Ensure there is an effective audit trail for audit recommendations and actions in particular those made on legislative reforms, and others across the directorate, Companies House and BEIS.
- Undertake a range of business support functions, including ensuring an effective governance process and audit trail of decisions across the directorate, tracking leave and cover, logging training, writing minutes, ensuring actions are assigned and completed, shaping agendas, and maintaining the Teams areas to facilitate hybrid working.
- Support the work across the Strategy and Planning team, including horizon-scanning, risks, report writing, maintaining action plans, tools and templates.
You’ll be:
- Taking an active role in the Strategy and Planning team, being adaptable and resilient, sharing intelligence with colleagues and adopting a flexible approach to cross-team working
- Being proactive and self-motivated to deliver, including when the context may be changing or uncertain, or fast paced
- Taking ownership of specified workstreams, working with colleagues to successfully deliver on tasks
- Building and maintaining strong working relationships, which involve influencing and negotiating with others to ensure that actions are delivered on time
- Working closely with people across the Directorate to ensure that we have the information we need to develop, monitor and support the delivery of our agreed actions
- Delivering and maintaining an accurate overview of the Directorate action plans
- Promote and support effective collaboration and knowledge sharing across the Directorate
Person specification
Strong candidates will be able to present evidence in their Personal Statement of no more than 1250 words covering the key criteria below:
- An ability to communicate in a clear, honest and engaging manner, choosing appropriate styles to maximise understanding and impact.
- Experience of writing clear and effective documentation in a context relevant to this role.
- Strong interpersonal skills, with ability to quickly establish trusted working relationships with a range of colleagues.
- Ability to manage a diverse set of priorities and varying workload and quickly respond to emerging or changing priorities.
- Competent IT user with experience of the MS Office suite of applications, including Outlook, Excel, PowerPoint and Word.
- Being proactive and self-motivated to deliver, including when the context may be changing or uncertain, or fast paced.
