An experienced permanent Office Administrator (Business Development Assistant) is needed to supervise daily support operations of our company and plan the most efficient administrative procedures.
Roles & Responsibilities
- Dealing with all customer sales enquiries received through various sources; website, phone, email, etc
- Updating the CRM and ERP
- Answering phone calls and providing information to customers on product information, our process, delivery updates etc.
- Ensure customer portal is kept updated with customer details & sending required brochures and marketing material to existing and prospective customers.
- Follow up on sales quotations.
- Contact potential new trade customers to secure new business.
- Organise and manage delivery and couriers for products delivery.
- Update sales reports in Salesforce.
- Provide admin support as necessary i.e., diary management, sharing customer information & requests etc.
- Create sales invoices in ERP system and send to customers.
- Booking appointments and arrangements of meetings with clients and staff.
- Manage timelines ensuring deadlines are met, action points are responded to, and all necessary documentation is completed.
- Compiling letters, memos, minutes schedules and the organisation of meetings.
- Ensure the smooth and adequate flow of information within the company to facilitate other business operations.
- Compiling and preparing reports, presentations, and correspondence.
- Liaising with staff as appropriate.
- Ensure operations adhere to policies and regulations.
- Keep abreast with all organisational changes and business developments.
- Other miscellaneous tasks to support the Director and the team.
Experience/Knowledge/Skills
- Previous Administrative skill is beneficial but not essential.
- Proficient in use of Microsoft Word, Outlook, Power Point and Excel.
- Proficient in using web-based applications.
- Good organisational and problem-solving skills.
- Highly efficient, conscientious and methodical individual with a strong eye for detail.
- Positive, forward-thinking, team player who can work independently without significant supervision.
- Ability to demonstrate initiative and decisiveness.
- Excellent communication skills, both written and verbal.
- Smart, presentable appearance.
