We currently have a placement for a Business Apprentice to join our Administration Team within Maternity . If you are motivated, enthusiastic and looking for a rewarding and challenging role, then we would love to hear from you. In return, you will receive full training, gaining skills and experience whilst working towards a Business Apprentice Level 3 qualification.
Job Summary
- To provide an efficient and effective clerical and administrative support service to a designated team in accordance with Trust policies and procedures.
- To attend regular meetings with the supervisor and assessor and attend training sessions leading to a Standard Level 3 Advanced Apprenticeship in Business Administration..
- To cooperate with the Manager and Apprenticeship team to identify and develop areas of knowledge and skills for own personal and professional development and to review progress in regular intervals through review progress process.

Communication
- To learn how to plan business communications answer telephone calls, take messages and to effectively communicate accurately with the relevant stakeholders both verbally and in written format.
- Be able to work on own initiative, prioritising work within defined policies and procedures to set timescales.
- To learn how to manage administrative processes and resources effectively and this to include the organising of meetings, meeting minutes and events/ resources for the department.
- To promote the image of the department and the Trust to visitors and patients.
- To provide appropriate reception cover as and when required by the department.
- To learn how to use paper and electronic systems to retrieve and record patient information in line with Trust documentation standards and operational systems. Ensure information is accurate and securely maintained.
- Apply the principles of information governance and patient confidentiality to all aspects of your role.
- Adhere to all Trust, Directorate and Unit policies.
- Recognise and respect people at all times with regard to age, disability, gender, position, race, religion and sexual orientation through professionalism and courtesy, treating all patients, colleagues, visitors, carers and others as they would wish to be treated.
- Act in a non-discriminatory manner at all times being mindful of the requirements of each individual patient respecting choices, preferences ensuring care is patient centred.
- Escalates concerns regarding discriminatory practises.
- Ensure patients', families'/carers' property is respected and handled as per Trust policy.
- To be a flexible and supportive member of the team.
- To act as a key role model for Apprenticeships and be a supportive team participator in Apprenticeship career events.
- To learn how to prepare healthcare records for patient appointments/procedures to enhance the smooth running of the department.
- To demonstrate flexibility, time management skills and to be able to prioritise and organise own workload with the support from support of your team.
- To learn how to input data, monitor and print reports from computerised systems. To master Data Analysis and Presentation.
- To learn how to effectively use a variety of office systems, bespoke databases including spreadsheets and presentation software.
- To learn how to scan, photocopy and produce accurate business correspondence and MS Word documents, letters, emails and reports as required. The Post holder must have a standard level of keyboard skills and be able to use Microsoft Office programs.
- To learn and to understand the principles of business finance, the monitoring, ordering and maintenance of stock supplies.
- To undertake a project for service improvement which will include learning how to use project management tools and techniques to scope, plan, manage, report and evaluate projects in your own area of responsibility
- Assist in maintaining a clean, tidy and safe working environment
- Report all accidents, incidents and areas of concern to your manager.
- To adhere to the local and national Health and Safety regulations and the organisations Policies and Procedures.
- To be responsible for the use of physical equipment and report any defects as appropriate.
- Undertake all OUH statutory and mandatory training as required
- To sign an Apprenticeship Learning contract with the training provider and adhere to the agreement to complete the all the components of the Apprenticeship Standard
- Throughout the training period the post holder will be expected to complete all education and training as required.
- To prepare for and attend all training days and assessment meetings for your qualification.
- Seek and acknowledge constructive feedback.
- Following completion of all apprenticeship learning to undertake an End Point Assessment with an approved organisation and to demonstrate knowledge, skills and behaviour learnt.
