Job description
You will be working as part of the small but impactful MOVE Europe team and will provide high quality customer support to everybody that engages with our services. You’ll be providing administrative support to the team, including maintaining responsibility for records and databases, enquiry responses, bookkeeping duties including invoicing and debt management, as well as continually adapting to competing priorities in a fast-paced organisation that’s in a growth phase.
The ability to travel to undertake some duties of the post will be necessary.
General Business Administration
- Manage the main email inbox and phone enquiries and re-direct enquiries as appropriate.
- Maintain effective and efficient administrative procedures, producing appropriate records and reports as required, including the updating of spreadsheets and databases.
- Responsible for the data entry into and management of the Customer Relationship Management (CRM) database for the organisation.
- Assist with organising the team’s travel
- Assist with proofreading and reviewing reports
- Assist the team with website and social media support
- Assist with event organisation, such as the annual national MOVE Conference and the termly regional network meetings
- Record minutes and action points at team meetings
- Provide administrative support to the Charity Manager of MOVE Europe as required
- Support the wider team with focused tasks and projects.
Programme Responsibilities
- Manage bookings for training courses, webinars and networking events
- Assist with the end-to-end coordination of training courses, including post-course support for organisations after they receive training (training materials, certificates, feedback and membership processes), and supporting with
- Organise the printing and sending of materials and the travel logistics for training courses and assessments
- Direct members to our online resource area for support when necessary.
Finance Responsibilities
- Undertake bookkeeping duties for the organisation, including maintaining accurate and up to date financial transaction records, purchase orders, raising invoicing and managing debt recovery
- Monitor income and expenditure actuals against annual budget and inform team on monthly basis.
- Monitor and report on expenditure to ensure costs are controlled
- Support the Charity Manager with information required for income and expenditure monitoring on a monthly, quarterly and annual basis.
