The Intelligent Conversation and Communications Cloud (IC3) organization is seeking an experienced Business Administrator to provide support to the IC3 Executive Office. The ideal candidate is someone who can navigate and change directions quickly within a fast-paced environment and can embrace a challenge head on with confidence, a calm sense of urgency, and a positive attitude. You must have excellent communication skills, along with a professional demeanor and a desire to remove barriers to ensure success. You must be highly detail-oriented, have excellent multi-tasking skills, and practice consistent and timely follow-through. You must have high integrity and be able to handle confidential information appropriately. This role will report to the IC3 Chief of Staff.
A successful candidate will have demonstrated work experience in a fast-paced environment, proficient planning, organizational and time management skills, flexibility, ability to work independently and be comfortable operating with ambiguity, multi-tasking, meeting deadlines, changing direction in rapid response to a fluctuating work environment and prioritize among multiple projects with a dynamically changing workload.

- Calendaring for multiple Corporate Vice President directs
- Exceptional customer service and team support
- Partner closely with other administrative assistants in M365 Core
- Morale & Team Event Planning
- Miscellaneous Project Management
- Procurement/Purchase Order Management
- Vendor Staff Set Up
- Full time employee New Hire Onboarding & Termination
- Headcount Management & Operations
- Space Planning and management- including office moves
- Budget Management and Reconciliation- work with Business Manager, Finance, and fellow administrative assistants
- Be the first point-of-contact for all group administrative needs
- Asset Tracking - Update and maintain hardware list
- Assist in M365 Core wide events
- Attend the annual Microsoft Administratrive conference and other trainings as needed
Qualifications
Required Qualifications:
- Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and basic administration work.
- 1+ years of experience with Microsoft products including Outlook, Visio, Word, Excel and/or PowerPoint
Preferred Qualifications:
- 3+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and basic administration work.
- Associate's/Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology)
- OR equivalent experience.
- 1+ year(s) experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training).
- Excellent verbal and written communication skills.
- Knowledge of corporate organization and culture and ability to navigate it successfully.
- Attention to detail-oriented with problem-solving and troubleshooting skills.
- Cross-team collaboration & organizational skills.
- Must be able to maintain confidentiality and use discretion and judgment at all times.
- Knowledge of Microsoft internal tools such as Headtrax, MSS & MyOrder
Business Support ATR-C - The typical base pay range for this role across the U.S. is USD $22.79 - $39.66 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $33.03 - $45.91 per hour.
