JOB TITLE: Business administrator.

Normal Location: Flexible: Working from home/office

Salary Range: £21,020 – £22,514 FTE/PRO RATA

Hours: 20 hours

Contract length: Initial 12 month contract (subject to a 3 month probationary period).

Responsible To: Head of Service/Admin Manager

The Person

You will have a strong administration background working with data management, collecting and reporting data. Your experience could have been gained in any industry but you will be excited to transfer your expertise to a charity setting, helping counsellors and coordinators across the Charity understand and make the most of data to enhance progress. You will be comfortable dealing with multiple data platforms/systems and be enthusiastic about learning how to use new ones, bringing your knowledge and expertise to help Base 25 think about improving the flow and use of assessment data across their systems.

Whilst you may not have had direct experience with the systems that we currently use, the ability to adapt and be proactive in developing your knowledge of them will be a key attribute of the successful candidate. This will form part of the interview where you will be set a research task and asked to do a short presentation of your findings.

Overall Purpose Of Job

To manage/develop the Lamplight system to meet the needs of the Charity. To provide summary reports to the Head of Service, Coordinators and Commissioners on referrals, leavers and progress. Provide accurate and timely progress reports and ensure data can be accessed easily to support funding applications.

Duties and Responsibilities

● Write and amend reports to provide data required for the Lamplight System.

● Communicate to staff deadlines for reports.

● Co-ordinate and produce reports for Base 25.

● Proofread and check data and reports.

● Produce statistical analysis.

● To review the effectiveness of reporting and analysis.

● Collation of Assessment Data for MHSDS and SDCS reports.

● To ensure all data is correct and accurate.

● Use Microsoft (Excel/Access), NHS database packages and other external curriculum analytical tools.

● Comfortable with using cloud based systems in particular Google Drive.

● Ability to adapt to using bespoke systems such as Lamplight and Bright HR/Blip.

● Manage the recording and reporting of Lamplight data and provide statistical returns to Black Country Healthcare NHS Foundation Trust and coordinators , as well as providing discussion topics analysis.

● To maintain details of the new referrals.

● To ensure effective communication is maintained internally and externally.

● To ensure that referral files are up to date and accurate.

● To be responsible for the administration of leavers including updating Eclipse

Database and forwarding relevant files.

● Assist whenever time allows with any administrative tasks necessary, particularly during busy periods.

● Undertake such other duties as may be required by the Head of Service or Office

Manager.
