Title: Breed Secretary
Full time permanent role
Accountable to: Sales Cattle Society of the UK Council, Chairman and Membership
Reporting to – Society Chair and Treasurer
Please note the Treasurer carries some specific legal obligations on behalf of the Society, which the Secretary executes. There is therefore an indirect reporting relationship to Treasurer.
About the Role
The Salers Cattle Society of the UK are seeking an outgoing and enthusiastic individual to be the first point of contact for members, customers, and external organisations. This important role requires the applicant to be flexible in their working attitude as some evening and weekend work will be required for attendance at shows, sales, and events.
Key Duties
Be the first point of contact for members, process day-to-day Society administration and finance and in particular registrations and DNA samples. Engage and encourage new and potential members to the breed and the Society and continue to develop the promotion of the breed, marketing strategies and social media.
Responsibilities
Represent the Salers Cattle Society at shows and sales and organise promotional stands at various shows and industry events. This would include the booking of stands, organisation, and production of marketing material/posters/flyers/pop ups etc.
The creation and publication of timely show & sale reports.
In conjunction with the council of management ensure that members observe the societies’ articles and bylaws and that the herd book is always maintained to the highest standard of accuracy and integrity. This includes:
· Timely entry of animals on to the database and the issue of accurate certificates and invoices.
· Collate and issue annual animal inventory for each member.
· Solve members queries relating to registrations, DNA queries and submissions.
· Report quarterly to council on DNA test results
· Manage, maintain, and solve queries relating to all animal data.
· Set up and maintenance of members’ login details.
· Issue of DNA testing kits to members
Create and maintain effective relationships with members, shows, auctioneers and commercial producers providing timely responses to emails, calls, voicemails, and messages. To include:
· Receive and process timely membership applications from new members.
· Issue annual subscription invoices to members
· Provide annual Journal to all paid up members.
· Provide regular communication to members in form of quarterly newsletters and emails as required.
· Engage with and assist area representatives in their activities.
· Liaise with show & sale organisers, sponsors, media, suppliers of services, other
breed societies, government bodies, farming unions, science and research institutions
· Communication of animal health issues and government policy changes relevant for
society members
Organise, attend and contribute at meetings of the council of management and write minutes and process action points arising from the minutes as required. Duties include:
· Organise quarterly Council meetings.
· Take minutes and manage agenda for Chair.
· Circulate minutes immediately following each meeting, within 7 days of event.
· Report on activities from previous quarter and forthcoming events as planned.
· Report on relevant subjects for Council’s attention
· Communicate council meeting decisions to members.
· Maintain confidentiality of council discussions and also anonymity of members regarding subjects under discussion.
Process all financial transactions in a timely manner and liaise with Treasurer and Society accountants.
· Enter all purchase and sales invoices on society bookkeeping software.
· Report monthly, to society treasurer, on key areas, such as cash in bank, creditors and debtors, and forward cashflow needs.
· Assist treasurer in finalising annual management accounts for submission to auditors and charities commission.
· Manage credit control functions of society and report debtor status to Chair monthly.
Book photographers/videographers for events
Update website and social media on a regular basis and proactively use social media as a breed promotion tool. Utilise published trade media articles to highlight breed USPs and commission relevant articles with trade press to promote breed attributes and members success stories.
Collate annual Society journal including articles, adverts and technical features for distribution to members with their annual membership invoice in January each year.
Book annual cycle of shows and sales and organise vet, Society inspectors, catalogue, trophies and rosettes.
