At the heart of the office a Branch Support Coordinator will need to provide support to core workstreams and coordinate the completion of key tasks that allow for smooth operational running of the branch. The Project
Your responsibilities will include: • Coordinate branch training, including liaising with SmartHub to ensure availability and attendance is managed and recorded. • Ensure all trades have the correct PPE available to them and closely monitor issued PPE to control costs and stock levels. • Coordination of all records relating to compliance, including Asbestos, Electrical Testing and Inspection surveys, Gas Servicing and Q-Mark Doors; ensuring all certificates are stored correctly and sent to client within KPI and contract timescales. • Report on performance against SLAs for transfer of certificates and manage the register for Q-Mark door installations and repairs. • Ensure all records relating to waste transfer are kept up to date and escalate issues with any subcontractors or direct trades to operational management team • Maintain H&S Matrix and ensure all information from WIP inspections are updated, including all safety requirements along with records for PAT testing, building compliance and fire safety – chasing up information from relevant supervisors or managers. • Ensure all activities relating to permits are adhered to 100% at all times. • Attend various meetings as minute taker, ensuring minutes are accurate and typed up in a timely manner. • Raising of subcontractor purchase orders in line with agreed SLAs • Complete payroll accurately, with coordination of timesheets and overtime forms. • Update all Asset Register records and escalate areas of non-conformance to management team •Maintain TTC driver system and ensure any non-compliance is highlighted to individuals immediately, escalating to management where necessary. •Ensure apprentice reviews and any associated meetings are organised • Coordination of customer complaints – ensuring that a satisfactory response is returned to client within SLA • Coordination of EPC data for void properties and house sales, with robust record keeping of certificates and transfer to client • Assist with new starter onboarding – ordering of uniform, PPE, ID cards and any equipment needed. • Ensure trades have access to fuel cards – including ordering and liaising with key stakeholders to ensure ‘sharing’ cards is not needed. • Production and sending of gas servicing letters – accurate record keeping of sent batches • Ensure 100% adherence of all tasks relating to the permit system, including storing documents in the correct location. • Keep branch notice boards up to date with all relevant compliance documents and employee communications. • Administration of fleet information – including damage tracking, MOT and servicing requirements as well as any ad-hoc repairs • Vehicle hiring and purchase tasks completed in line with agreed process and correct storage of relevant documentation • Monitoring of CAPs for workstreams to ensure efficient resolution and closure, in conjunction with workstream leads • Tasks relating to vehicle equipment such as trackers and dashcams follow process and all relevant documents stored correctly. • Ordering of consumable items, stationary and other critical items in line with budget. • Be a Branch champion for H&S, office and yard cleanliness and influence others to share same principles Further responsibilities continued below:
Essential and Desirable Criteria
• Support workstreams with adhoc tasks that require administrative support. • Monitoring of branch annual leave, absence and accurate collation of return to work information. Distribute relevant leave entitlement forms to staff/trades as required as well as tracking absence accurately and associated documents stored correctly. • All admin task relating to the leaver process are adhered to and all relevant documents stored in the correct location • Ensure that probation reviews are planned and completing within the correct timescales and probation tracker is kept up to date. •Be a champion for, and demonstrate Fortem values and behaviours The successful candidate will meet the following criteria: Essential: • Ability to create and maintain spreadsheets to ensure accuracy of information. Use excel formulas competently. • Enjoys evaluating, probing, investigating and challenging information – working in an innovative way. • Experience in managing a challenging workload whilst maintaining high standards. • Excellent interpersonal skills. • Positive proactive attitude • High level of IT literacy and data handling skills –excel, word, PowerPoint and outlook mail merge. • Familiar with workforce management systems (such as Maintain) • Experience in a responsive service delivery environment • Soft people skills where people are engaged in a non-confrontational/non-combative way. • Understanding of health and safety policies and importance of record keeping for compliance purposes. Desirable: • Repair and maintenance background in a housing environment. • Experience of reducing costs in an office environment (consumables, stationary). • Good level of Health and Safety awareness or a H&S qualification such as IOSH. Other Requirements: • Professional and organized approach with high standards. •Ability to use initiative, seeking new ways of working to drive improvement.
