Job description

We are currently seeking a dedicated and proactive Finance and Billing Assistant to join our reputable law firm. As a Finance and Billing Assistant, you will play a crucial role in supporting our financial operations and ensuring accurate and timely billing processes.
Responsibilities:
- Assist with the preparation of client invoices, ensuring accuracy and adherence to billing guidelines and client-specific requirements.
- Review and verify billing data, including time entries, expenses, disbursements, and rate structures, to ensure completeness and compliance.
- Coordinate with attorneys and support staff to gather necessary documentation and supporting materials for billing purposes.
- Generate and distribute monthly financial reports and statements, highlighting key metrics and financial performance indicators.
- Monitor and reconcile client accounts, identifying and resolving discrepancies in a timely manner.
- Collaborate with the finance team to process and track client payments, ensuring proper allocation and timely recording.
- Assist in maintaining the billing system and client database, updating client information, rates, and billing terms as necessary.
- Respond to billing inquiries and resolve client-related issues in a professional and timely manner.
- Support the month-end and year-end closing processes, including accruals, reconciliations, and financial analysis.
- Assist with other finance-related tasks and projects as assigned.
Qualifications:
- Bachelor’s degree in Finance, Accounting, or a related field.
- Previous experience in finance, billing, or accounting, preferably within a law firm or professional services environment.
- Proficiency in financial software and billing systems.
- Strong numerical and analytical skills, with exceptional attention to detail.
- Excellent written and verbal communication skills, with the ability to effectively communicate with internal and external stakeholders.
- Solid understanding of financial principles and accounting practices.
- Ability to handle sensitive and confidential information with the utmost discretion.
- Advanced proficiency in MS Excel and other MS Office applications.
- Strong organizational and time management skills, with the ability to meet deadlines and manage multiple priorities.
- Familiarity with legal billing guidelines, including e-billing platforms, is a plus.
